ROLE SUMMARY:
We are seeking a highly motivated and experienced Executive Assistant to provide advanced administrative support to multiple members of our Quanterix executive team. Reporting to the Executive Assistant to the CEO, this role requires a professional who thrives in a fast-paced environment and can manage multiple priorities with discretion, efficiency, and attention to detail.
The ideal candidate will demonstrate excellent communication and decision-making skills, a high level of confidentiality, and the ability to interact effectively with employees, executives, board members, and external partners. This role is on site in Billerica MA 5 days a week.
WHAT YOU’LL DO:
  • Manage complex calendars, scheduling meetings across multiple time zones and coordinating with internal and external stakeholders
  • Coordinate domestic and international travel arrangements, including logistics for conferences, meetings, and site visits
  • Prepare leadership team meeting agendas, manage meeting logistics, take comprehensive notes, and follow up on action items to ensure efficient and productive meetings
  • Prepare and process expense reports in a timely and accurate manner
  • Anticipate needs and proactively address issues before they arise
  • Handle confidential and sensitive information with the utmost discretion
  • Support site events as well individual functional events/ meetings
  • Support internal communications across the company to include sending all employee emails, event/ meeting invites, etc.
  • Manage company townhalls as well as functional town halls
  • Identify opportunities to streamline administrative processes and improve efficiency
  • Back up support to the other members of the Administration team
  • Open and supportive to other tasks as assigned
BASIC QUALIFICATIONS:
  • Bachelor's degree or equivalent experience
  • 5+ years of experience providing executive-level support, with demonstrated experience supporting senior executives
PREFERRED QUALIFICATIONS:
  • Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines
  • Excellent written and verbal communication skills with the ability to clearly and effectively communicate across a wide range of stakeholders both internally and externally
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
  • Experience with travel coordination and expense management systems (e.g., Concur)
  • High level of professionalism, discretion, and confidentiality
  • Skilled in managing and prioritizing multiple requests simultaneously while maintaining a focus on quality and urgency.
  • Take initiative and work well under pressure, maintain a high level of confidentiality
  • Polished and articulate with strong interpersonal skills
  • Impeccable attention to detail, ensuring flawless execution in scheduling, documentation, and travel arrangements
