The Well
The Well is a unique and innovative joint venture between Allied and Riocan.
Located at Spadina and Front, The Well brings together three million square feet of retail, office and residential space constructed over 7.7 acres. Through this, The Well sets the stage for meaningful experiences that draw people from down the street and across the globe to eat, shop, work, live and play in Toronto.
Purpose of the Role

Support the efficient operation of The Well by coordinating administrative, financial, and operational processes across the property. As Property Coordinator, you will perform a broad range of coordination, documentation, and systems-related responsibilities to ensure accuracy, consistency, and efficiency across workflows, while supporting both the office and retail property management teams.

Reporting to the Senior Property Manager, you will collaborate across teams to support financial tracking, tenant and vendor administration, and day-to-day office operations. You will play a key role in maintaining organized systems, facilitating communication, and contributing to a seamless and high-quality experience for tenants, partners, and visitors at The Well.

Responsibilities
  • Greet clients and visitors and connect them with the appropriate person in a friendly manner.
  • Answer all incoming calls and direct to the appropriate person.
  • Manage all incoming and outgoing mail sent or received by the office.
  • Manage the schedule of the Management office boardroom.
Office Administration:
  • Review and recommend office procedures that enhance guest experience and improve operational efficiency Creation of all SOPs in relation to reception and administration duties.
  • Manage and negotiate office supply service contracts with vendors to ensure best pricing is achieved.
  • Management of office inventory, orders and organization.
  • Assist with catering needs of the management office, security & operations office and boardroom.
  • Support office moves, space planning, and related projects as required.
  • Participate in the successful on-boarding and orientation of new hires to ensure a positive experience.
Property Management Support:
  • Provide administrative support to the property management team as required.
  • Provide ad hoc administrative support to client groups or tenants.
  • Assist the Property Manager with issuance of purchase orders.
  • Assist with data management, including M-files document transition.
  • Other duties as required.
Qualifications
  • Strong verbal and written communication skills.
  • People skills, including a proven ability to build relationships.
  • An assertive self-starter with the ability to work independently under minimal supervision.
  • Strong organization and multi-tasking skills.
  • Be able to work under pressure in a fast-paced environment.
  • Minimum 2-3 years of administrative experience.
  • Strong computer skills, with excellent knowledge of the Microsoft Office suite.
Would be an asset:
  • Yardi experience.
  • Previous experience in construction or real estate administration.
