Position Overview:
This position supports the daily administrative operations of hospital providers, including scheduling hospital and on-call coverage. Serves as a key liaison between providers, staff and external partners to ensure efficient operations and support patient care. This position plays a critical role in maintaining seamless clinical operations by ensuring appropriate provider coverage, coordinating locum tenens assignments, and supporting medical staff availability. This position works closely with Physician Recruitment and Nursing Leadership to align coverage ensuring continuity of care.

Key Responsibilities:

•Provide administrative support for a team of medical providers, including physicians and advanced practice providers (APPs).

•Develop, maintain and manage provider schedules.

•Coordinate coverage for planned and unplanned absences, including urgent adjustments for call outs.

•Arrange locum tenens coverage as needed, coordinating with external staffing agencies and internal departments.

•Communicate schedule changes to providers, clinical leaders and administrative staff.

•Collaborate with Medical Staff Services regarding documentation related to provider credentialing and onboarding logistics; assist with orientation of providers with onboarding needs.

•Collaborate with the Recruitment Specialist to identify and report recurring staffing needs and support strategic hiring.

•Maintain organized records, files and databases in compliance with policies and procedures.

•Provides administrative support for staff meetings with medical staff, including scheduling, preparing agendas, and taking minutes.

•Assist Medical Director with Collaborative agreements of APP’s by coordinating documentation, tracking deadlines, communicating with stakeholders, and supporting preparation and processing of agreements.

•Process payroll and invoices by verifying, tracking, and ensuring timely and accurate submission.

•Pick up, sort and distribute incoming mail to providers.

•This position operates in a hospital office setting and requires frequent interaction with providers, staff, leadership and external stakeholders.

•Other duties as needed.

Qualifications

High School Diploma or equivalent.

A minimum of 2 years of administrative experience in a health care environment.
