About This Position
Westerner Park is seeking a motivated and organized Administrative Assistant - Summer Student to join our Corporate Services team. This temporary, full-time role provides essential administrative and clerical support to Corporate Services and other departments, ensuring smooth internal operations and excellent customer service.
As a key member of our team, the Administrative Assistant contributes to data management, document preparation, reception coverage, and office coordination, helping Westerner Park deliver an efficient and professional experience for staff, volunteers, and guests.
Position OverviewReporting to the Business Services Specialist, the Administrative Assistant supports a variety of administrative, clerical, and customer-facing tasks. This role requires flexibility, strong organizational skills, and a proactive approach to assisting both internal teams and external stakeholders.
Key Areas of Responsibility1. Administrative Support & Data Management
- Provide administrative support to Business Services, including collecting and cleaning data, creating spreadsheets, drafting procedure updates, and organizing documents.
- Review, prepare, and maintain reports, documents, and records.
- Support other departments as needed to ensure smooth operations.
2. Front Reception & Customer Interaction
- Provide back-up support for the front reception desk.
- Courteously receive and screen incoming calls, emails, and visitors, directing inquiries appropriately.
- Review, evaluate, and distribute all incoming and outgoing mail.
3. Meeting & Document Preparation
- Prepare meeting spaces, including setup and organization of materials.
- Assist with the preparation of reports, presentations, and other business documents.
4. RV Resort & Customer Assistance
- Support RV Resort operations by assisting with inquiries, bookings, payments, and related tasks.
5. Adaptability & Team Support
- Adapt to changes and take on additional duties or responsibilities as assigned.
- Collaborate with colleagues to ensure tasks are completed efficiently and accurately.
- Accurate and organized administrative records and documentation.
- Smooth reception coverage and effective front-desk support.
- Timely preparation of reports, presentations, and meeting materials.
- Effective assistance to internal teams and RV Resort operations.
- Currently attending a business or administration-related post-secondary program (an asset).
- Previous administrative experience or experience with data collection (an asset).
- Proficiency with Microsoft Office 365.
- Pleasant, positive, and courteous attitude.
- Ability to adapt to changing priorities and work flexible hours, including evenings and weekends as needed.
- Eligibility for the Canada Summer Jobs Program.
