Position Summary
The Maintenance Clerk provides essential administrative and operational support to ensure the effective and efficient functioning of the Maintenance Department. This role is responsible for coordinating work orders, supporting fleet maintenance activities, maintaining accurate records, and ensuring proper inventory control, purchasing support, and asset protection.
Requirements:Administrative & Office Support
- Provide general administrative support, including answering phones, responding to inquiries, and routing communications
- Maintain calendars, schedule meetings, and coordinate departmental activities
- Prepare correspondence, reports, forms, and internal documentation
- Maintain organized filing systems
Maintenance & Work Order Coordination
- Receive, log, assign, and track maintenance requests and work orders
- Coordinate scheduling of maintenance staff and vendors
- Monitor completion status and follow up on outstanding work orders
- Maintain logs, service histories, and equipment records
Fleet Maintenance Coordination
- Support scheduling and tracking of preventive maintenance and repairs
- Maintain vehicle service records, registrations, and inspections
- Coordinate with vendors for fleet repairs
- Track vehicle usage and downtime
Inventory Management & Asset Protection
- Maintain inventory of supplies, tools, and equipment
- Monitor inventory levels and reorder as needed
- Track asset usage and condition
- Assist in inventory audits
Purchasing & Vendor Coordination
- Initiate and process purchase orders for maintenance supplies, parts, and equipment
- Obtain quotes and coordinate pricing with approved vendors
- Track orders from request through delivery to ensure timely fulfillment
- Verify the accuracy of deliveries against purchase orders
- Assist with invoice reconciliation and submission for payment
- Maintain vendor files, contracts, and contact information
- Support budget tracking by maintaining accurate purchasing records
Data Entry, Reporting & Compliance
- Maintain accurate maintenance and fleet data
- Prepare reports and maintain compliance documentation
- Ensure records are audit-ready
Departmental Support
- Support staff scheduling and timekeeping
- Assist with onboarding documentation
- Facilitate communication across departments
Customer Service & Communication
- Serve as a point of contact for maintenance inquiries
- Provide timely updates
- Maintain professional communication
Minimum Qualifications
- High School Diploma or equivalent
- 2+ years of administrative experience preferred
- Microsoft Office proficiency
- Experience with tracking systems preferred
- Valid driver’s license and proof of automobile insurance required
- Successful completion of pre-employment drug screening is required

Working Conditions
- Office-based with exposure to maintenance environments
