About This Position
POSITION SUMMARY
The Cincinnati Art Museum seeks a temporary full-time Project-Based Exhibitions Registrar to manage the logistics, documentation, insurance, and condition reporting for artworks on a 4-venue tour to Japan. The position involves coordinating transit logistics, ensuring the objects are handled safely, documented correctly, and that all legal and contractual requirements are met. This role requires strong organization and communication skills, meticulous attention to detail, familiarity with collections management software, and experience with international courier travel.
The Project-Based Exhibitions Registrar assignment is for 18 months beginning June 2026 through December 2027.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Reporting to the Director of Collections & Exhibitions, duties include, but are not limited to:
- Logistics and movement: Oversee all aspects of object movement, including packing, crating, shipping, and installation/de-installation of artworks on the tour.
- Documentation and records: Maintain comprehensive documentation for all artworks, such as contracts, condition reports, insurance certificates, and facility reports.
- Condition reporting and conservation: Monitor and document the physical condition of artworks before, during, and after the tour, and with the museum’s Head Conservator, assess any needed conservation treatment.
- Insurance and risk management: Arrange and manage fine arts insurance policies for objects and oversee the risk management for the tour.
- Contracts and legal compliance: Ensure that all legal and contractual obligations related to the tour are met and documented.
- Coordinator and communication: Collaborate with the Curator of European Paintings, Sculpture, and Drawings, conservation staff, registration staff, and other departments to plan and implement the tour and ensure smooth execution.
- Supervision: Oversee the packing and unpacking, the condition reporting and installation/de-installation of the artworks at each of the 4 venues in Japan.
MINIMUM REQUIREMENTS
- Master’s degree in museum studies, art history, or a related field.
- 5 years of experience in museum exhibition logistics
- Ability to work effectively in a small team with knowledge of the standards and procedures required for the safe movement and display of works of art including knowledge of object handling, packing and installation requirements, and international courier experience.
- Exceptional organizational, multitasking, and project management skills.
- Meticulous attention to detail for accurate documentation and object handling.
- Familiarity with TMS, the museum’s collection database, or other collections management software, Microsoft Office Suite, and general computer skills.
- Strong communication and interpersonal skills to work effectively with internal and external stakeholders.
- Ability to communicate effectively with packers, shippers, customs brokers, and international professionals.
- Valid and unexpired passport. Willingness to travel to Japan several times a year throughout the tour.
- Physical Demands: Incumbent will be required to walk and move about work location on foot, and work will include periods of standing, sitting and use of stairs as needed. Will be required to lift and move items of moderate weight as needed.
