Superintendents Office Coordinator

Position Summary
The Superintendent’s Office Coordinator provides high-level administrative and operational support to the Superintendent and the Superintendent’s Office. This role is responsible for managing day-to-day office functions, coordinating communications, and ensuring the efficient execution of priorities, meetings, and initiatives. The coordinator serves as a key point of contact and plays a critical role in maintaining organization, responsiveness, and professionalism across the office.
Essential Duties and Responsibilities

Executive & Office Coordination

· Manage the Superintendent’s calendar, including scheduling, prioritizing, and coordinating meetings, events, and travel.

· Prepare materials for meetings, briefings, and presentations, ensuring the Superintendent is well-informed and prepared.

· Coordinate logistics for internal and external meetings, including room setup, technology, and materials.

· Monitor and track key deadlines, action items, and follow-ups to ensure timely completion.

Communication & Stakeholder Support

· Serve as a primary point of contact for the Superintendent’s Office, responding to inquiries and directing requests appropriately.

· Draft, review, and coordinate correspondence, including emails, memos, and announcements.

· Support communication flow between the Superintendent’s Office, executive leadership, staff, and external stakeholders.

· Maintain confidentiality and exercise discretion in handling sensitive information.

Operations & Process Management

· Maintain organized systems for files, records, and documentation.

· Support coordination of Superintendent-led initiatives, projects, and events.

· Assist in the preparation and submission of reports, including materials for board meetings when applicable.

· Identify opportunities to improve office processes and implement solutions to enhance efficiency.

Board & Leadership Support (as applicable)

· Assist with logistics and preparation for board meetings, including compiling materials and coordinating schedules.

· Support follow-up actions related to board directives and leadership decisions.

· Performs other duties as assigned.

Educational Background

· Bachelor’s degree in business, communications, education, or related field preferred.

· 3-5 years of executive level work experience.

Other Knowledge, Skills, and Abilities

· Strong organizational and time management skills with the ability to manage multiple priorities.

· Excellent written and verbal communication skills.

· High level of professionalism, discretion, and confidentiality.

· Ability to anticipate needs and problem-solve proactively.

· Strong attention to detail and accuracy.

· Proficiency in Microsoft Office Suite and other relevant systems.

Supervisor Responsibility

This position does not have direct reports.

- Normal setting for this job is an office/school setting.

Performance Evaluation
The employee will be evaluated based on the above position using either two methods: via COMPASS or a NOLA-PS evaluating instrument. If the employee holds an Educational Leadership certification, he/she will be evaluated via COMPASS to ensure renewal of certification.
