Purpose of Job:
The Project Coordinator enhances customer and co-worker experiences by managing project timelines, coordinating with vendors, and ensuring clear communication. They track budgets and project stages to ensure timely, on-budget completion while striving to meet or exceed customer expectations.

Primary Duties and Responsibilities:
Project Coordination and Communication:
- Create, revise, and resubmit shop drawings for approval
- Communicate with customers or Account Managers to define timelines and troubleshoot orders
- Manage change notices and post-tender addendums
- Update and share project tracking spreadsheets with the Sales Team
- Attend site meetings as needed
Vendor and Inventory Management:
- Manage vendor quotes, expiry dates, and negotiate extensions
- Create and maintain stock for future orders based on project timelines
- Expedite purchase orders and manage non-stock product purchases
- Enter returns for surplus or damaged products and obtain RGAs from Vendors
Financial Tracking and Documentation:
- Build and manage project spreadsheets to track transactions and ensure budget adherence
- Prepare operation and maintenance manuals for the end user
These duties reflect the general details of the role but are not exhaustive. There will be tasks that are necessary to the job which may also be required.

Knowledge/Skill/Ability Requirements:

- Excellent customer service skills; striving to meet or exceed customer expectations
- Excellent written and verbal communication skills with the ability to remain composed under pressure
- Strong problem-solving, prioritization skills, and time management abilities
- Strong teamwork skills with the ability to collaborate effectively with other departments.
- Strong computer skills and knowledge of Microsoft Products (i.e. Word, Excel, and Outlook) and experience with order and PO entry within an ERP system
- Strong knowledge of plumbing and heating products
Experience & Education:
- High School Diploma or equivalent
- 2+ year of previous experience in project management
- Previous experience in the construction industry is considered an asset
Physical Demands/ Working Conditions:
- Position requires the ability to work in a fast-paced environment and handle high-pressure situations calmly and effectively
