About This Position

Description:

The Development Coordinator is a key staff member responsible for supporting effective and timely donor engagement and fundraising activities. The coordinator provides administrative, fundraising, and stewardship support to the development department, including donor data management, gift entry and acknowledgement, donor stewardship planning, donor research, event support and coordination, and overall department operations. The Development Coordinator reports to the Chief Development Officer and works closely with the Volunteer Manager, Events Manager, Development Manager, and the Director of Major Gifts.

Requirements:

Donor Data & Gift Processing (35%)

  • Perform all aspects of donation entry including gift entry, identifying key gifts, creating donor records, and generating timely acknowledgement letters.
  • Manage the daily deposit process of both donations and client rent payments in coordination with the Finance department.
  • Work closely with the Finance department for monthly reconciliation of donations through multiple platforms (e.g., Stripe, Blackbaud, DAF providers, etc.)
  • Maintain accurate donor and prospect records in the CRM database (i.e., Salesforce).
  • Produce regular reports and donor analytics to support the Development, Finance, and Programs teams.
  • Assist in mailing list creation for events, appeals, and communications outreach.
  • Perform regular database maintenance and clean-up projects to improve data integrity and database performance.
  • Monitor donor trends and support moves management processes.

Fundraising & Stewardship Support (30%)

  • Create and maintain accurate donor and prospect records in our existing Salesforce database, including updating organizational and personal relationships.
  • Steward continued donors with timely acknowledgements for donations both monetary and in kind.
  • Support cultivation activities by preparing briefing materials, presentations and meeting follow up items.
  • Leverage existing communications, emphasis on automations through Salesforce and following up with lapsed and expiring donors.
  • Support the major donor stewardship process, including scheduling and logistics for donor visits and prepare personalized meeting materials for participating staff and volunteers.

Events, Volunteer & Campaign Coordination (20%)

  • Track and produce reports on volunteer activity and shifts.
  • Support Volunteer manager with in-kind donation, recognition, and solicitation.
  • Support planning and execution of all fundraising activities including logistics, registration, sponsorship tracking, and on-site volunteer coordination.
  • Ensure volunteers and attendees are recorded in Salesforce.
  • Support donor recognition activities, including guest list generation, invitation and rsvp process, and post-event follow-up.

Administrative & Department Support (15%)

  • Provide general departmental administrative support as needed.
  • Coordinate the creation of annual development calendar, deadlines, and shared files.
  • Other tasks as assigned.

QUALIFICATIONS:

Required

  • Bachelor’s degree or equivalent experience.
  • 1–2 years of experience in fundraising, nonprofit administration, communications, or related field.
  • Strong attention to detail and excellent organizational skills.
  • Strong writing and communication abilities.
  • Proficiency with Microsoft Office Suite and comfort learning new software systems.
  • Ability to manage multiple projects and meet deadlines.
  • Excellent organizational skills and the ability to assist on multiple projects simultaneously.
  • Ability to present information concisely and effectively, both verbally and in writing.
  • Must have smartphone to utilize Agency communication and collaboration tools.
  • Must provide own transportation.
  • Commitment to the mission, values, and equity principles of the organization.

Preferred

  • Experience with donor CRM systems (e.g., Salesforce, Raiser’s Edge, Bloomerang). Strong preference towards experience with Salesforce.
  • Experience with fundraising events, donor communications, or data reporting.
