Location: Latin America (Remote or OfficeBased) Schedule: Monday–Friday 9:00 AM – 5:00 PM Eastern Time
About the Role Distro is seeking a Billing Administrative Assistant to provide essential backoffice support with a strong focus on daily payment entry, billing accuracy, and administrative operations. This role exists to remove dataheavy tasks from attorneys and paralegals so they can focus on legal work. Although this position supports a lawrelated environment, no legal knowledge or case law experience is required. The ideal candidate is reliable, detailoriented, organized, and able to work autonomously while meeting daily payment deadlines. Precision in payment handling and system discipline is critical.
Schedule & Work Modality Monday to Friday: 9:00 AM – 5:00 PM ET Flexibility allowed, with stronger availability in the afternoon Remote or officebased in Latin America High priority: sameday payment entry
Key Responsibilities
Payments & Billing (Primary Focus) Enter and reconcile daily payments across firm systems Apply payments to invoices and retainers following trust/IOLTA rules Verify trust balances before applying payments to earned work Identify discrepancies and escalate billing or ledger issues Maintain accurate records and supporting documentation
Systems & Administrative Support Open, update, and close matters in internal systems Perform weekly timeentry cleanup (accuracy, spelling, rate validation) Enter contractor or thirdparty time Maintain organized files in the document management system (DMS)
CRM & Internal Tools Update payment status, notes, and activity in Salesforce (CRM) Use Microsoft 365 for email, spreadsheets, and internal communication Assist with reporting and operational metrics
Qualifications 1–2+ years of experience in payment entry, billing support, or financial administration Experience with CRM systems (Salesforce preferred) Ability to learn and apply trust accounting / retainer (IOLTA) rules Strong Excel or spreadsheet abilities Excellent digital organization and systemnavigation skills English proficiency (written and verbal)
