SUMMARY/OBJECTIVE
Reporting directly to the Senior Event Coordinator, the Recreation/Board Assistant will be responsible for assistances in the planning, promotion, organization, and administration of the recreational events for the Parkchester community. Responsibilities include but are not limited to the following:
ESSENTIAL FUNCTIONS/RESPONSIBILITIES
- Provide administrative, operational, and on-site support to the Senior Events Coordinator for recreation programs, community events, and Board-related activities across both North and South Condominium communities.
- Assist with planning, coordination, and execution of recreation events and seasonal programs, including community activities and the Summer Concert Series.
- Perform general office duties including filing, recordkeeping, document organization, invoice processing, and preparation/proofreading of Board packets and event materials.
- Maintain accurate records for recreation programs, vendors, events, and digital content.
- Support written and digital communications by posting event information, announcements, text blasts, flyers, and recreation content to community websites and social media platforms (TikTok, Instagram, Facebook, LinkedIn); track engagement metrics.
- Photograph community events and programs; organize and maintain digital media files; assist with selecting and preparing content for promotional, archival, and communication purposes.
- Assist with vendor coordination, scheduling, logistics, and responding to inquiries related to event participation.
- Support coordination with Operations and Safety staff to help ensure events comply with established safety procedures.
- Assist in identifying recreational needs of a diverse community and support development and promotion of programs including music, arts and crafts, cultural activities, social recreation, and games.
- Provide support for youth and senior community activities and collaborate with internal departments to meet facility and program needs.
- Maintain flexibility to work evenings and/or weekends based on event schedules and operational needs.
- Perform other related duties consistent with an assistant-level recreation and Board support role, as assigned by management.
QUALIFICATIONS / SKILLS
- High school diploma or equivalent required; associate degree or coursework in business administration, communications, recreation, or a related field preferred.
- Minimum of 1–2 years of administrative, event support, recreation, or customer-facing experience preferred.
- Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities in a fast-paced environment.
- Excellent written and verbal communication skills, including comfort assisting with Board materials, community communications, and digital postings.
- Proficiency with basic office software (Microsoft Word, Excel, Outlook) and comfort learning internal systems.
- Experience or interest in social media platforms (TikTok, Instagram, Facebook, LinkedIn), website content updates, and basic digital engagement tracking preferred.
- Ability to take and organize event photographs and assist with simple digital content management.
- Professional demeanor with strong interpersonal skills and the ability to interact effectively with residents, vendors, staff, and Board members.
- Detail-oriented with strong follow-through and recordkeeping abilities.
- Flexible and dependable, with availability to work evenings and/or weekends as required by event schedules.
- Team-oriented, adaptable, and willing to support a wide range of administrative and event-related responsibilities.
- Ability to maintain confidentiality and exercise discretion when handling Board-related materials.
- Capable of light physical activity associated with events (standing for extended periods, assisting with setup/breakdown, lifting light materials).
COMPENSATION & BENEFITS
This position offers a hourly pay range of $28.20–$30.76, commensurate with experience, along with a competitive benefits package including Paid Time Off (PTO), Medical, Dental, Vision, and 401(k) plans.
The standard work schedule is Monday through Friday, 8:30 a.m. to 5:00 p.m.; however, hours will vary based on Board meetings and recreational event schedules. Evenings and weekends are required, and the employee’s weekly schedule will adjust accordingly to accommodate these operational needs.
The budgeted standard workweek is 37.5 hours.
