We are seeking a detail-oriented and organized Project Planning Coordinator to join our team. The Project Planning Coordinator will support the organization, preparation, tracking, and execution of simultaneous complex projects to ensure they are completed on time, in budget, within scope, and to the required quality standards. This role will work closely with, and function as the central point of contract for the project management, sales, engineering, engineering, manufacturing, logistics, purchasing, and construction teams. This role will also collaborate with colleagues internationally to facilitate effective communication, collaboration, and project success. The desired candidate must have a high level of initiative, strong decision-making skills, and ability to engage with internal stakeholders at all levels.

Key Responsibilities

  • Assist in developing project schedules in collaboration with project managers, internal departments, and international teams
  • Coordinate project activities, resources, and tasks across sales, engineering, manufacturing, logistics, and construction departments to ensure alignment with project objectives and resource capacities
  • Monitor project progress, track milestones, and report on key performance indicators (KPIs)
  • Maintain project documentation, including plans, financial milestones, and status reports
  • Facilitate communication between project teams, stakeholders, and international colleagues
  • Identify and escalate potential risks, scope creep, issues, or delays to project managers and other stakeholders
  • Work with project stakeholders to resolve open issues and develop recovery plans when needed.
  • Analyze and support resource allocation to optimize project efficiency
  • Organize and schedule meetings, prepare agendas, and document meeting minutes, accommodating international time zones as needed
  • Ensure compliance with organizational policies, procedures, and project requirements
  • Assist in preparing and presenting reports for stakeholders and leadership
  • Identify and escalate critical issues to management

Qualifications

  • Bachelor’s degree in business administration, project management, construction management, or a related field, or equivalent work experience
  • 3+ years of experience in project coordination, planning, or a similar role
  • Proficiency in ERP (Enterprise Resource Planning) systems, with a strong focus on scheduling and capacity planning
  • Strong organizational and time-management skills with the ability to prioritize tasks
  • Excellent written and verbal communication skills, with experience collaborating across multiple teams
  • Ability to work independently and collaboratively in a fast-paced, technical, global environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Required Skills

  • Fluent communication in the English language
  • Strong attention to detail, problem-solving abilities, and decision-making skills
  • Ability to manage multiple projects simultaneously across diverse functional areas
  • Experience with budget tracking and resource management
  • Familiarity with risk management and mitigation strategies
  • Strong interpersonal skills to build relationships with colleagues
  • Knowledge of project management methodologies is a plus
  • Experience with scheduling software, such as MS Project or Smartsheet, is a plus
  • Highly disciplined candidate with a strong commitment to adhering to established processes, maintaining consistency, and proactively developing new processes to enhance efficiency and effectiveness
  • Strong propensity towards utilization and organization of data, system and process improvement, and operational excellence

Work Environment

  • Full-time position with standard office hours; occasional overtime may be required to meet project deadlines or accommodate international schedules.
  • Collaborative team environment
  • Limited, not regular, travel may be required
