About This Position
Salary will be $17.00 per hour
Full-time position 35 hours per week plus insurance and time off benefits
Work schedule will be Monday through Friday, 8:00 am to 3:00 pm

Easterseals Florida is seeking a detail-oriented, customer-focused Program Assistant to support the administrative operations of our program. If you enjoy helping families, keeping things running smoothly behind the scenes, and being a key support to both staff and clients, this role may be a perfect fit. As the Program Assistant, you will help ensure the program office operates efficiently and that families receive exceptional service.
Responsibilities
- Provide administrative support including answering phones, managing supplies, and maintaining office equipment
- Maintain client files and electronic records (demographics, payments, enrollments, discharges)
- Collect and document private pay fees and make required daily deposits
- Greet caregivers/families, assist with questions or concerns, and conduct tours for prospective clients
- Obtain service authorizations and coordinate paperwork for sponsorship funds
- Gather and submit monthly billing documentation; assist with Medicaid Provider Applications and track completion
- Maintain tracking lists for FSPs, Medicaid Plans of Care, and Authorizations
- Support new staff onboarding and participate in monthly fire drills
- Provide coverage to meet ratio as needed (not applicable to school programs)
- Assist the Center Director with marketing and community outreach activities

Qualifications
- One-year college or technical school certificate and six months of related experience/training – or an equivalent combination of education and experience.
- Excellent customer service and communication skills (both written and verbal).
- Strong attention to detail, accuracy, and organizational skills.
- Proficiency in Microsoft Office and strong general computer skills.
- Fast and accurate typing/keyboarding; ability to enter data precisely into electronic systems.
- Ability to meet our approved driver qualifications in order to drive your personal vehicle, as required, to drive to meetings and for other business-related needs (minimum age of 21 and good driving history)
