Description:

Title: Development and Administrative Specialist

Reports to: Director of Fund Development

Classification/FLSA Status: Regular Full Time/Non-Exempt

Location: DreamLab

Grade: 2

Salary Range: $18.00 per hour - $20.00 per hour

Position Summary: The Development and Administrative Specialist is responsible for providing high-level administrative and operational support to the CEO, Director of Fund Development, and Director of Human Resources & Governance. This hybrid (3 days in office) role plays a critical part in maintaining donor data integrity, supporting fundraising initiatives, and assisting with grant administration. This role requires proficiency in Excel and data entry, excellent time management, efficiency, and the ability to display professional written and verbal communication. The ideal candidate demonstrates a collaborative spirit and positive attitude. This individual will be required to achieve Bloomerang certification within the first year of employment.

Essential Duties and Responsibilities:

  1. Maintain and manage the donor database, ensuring data accuracy and integrity.
  2. Process and record all gifts, generate acknowledgments, and maintain donor records.
  3. Reconcile donor database reports with the Finance Department on a monthly basis.
  4. Develop and maintain detailed Excel reports to support fundraising strategy and reporting.
  5. Assist with grant research, proposal tracking, submission documentation, and reporting requirements.
  6. Track and prepare monthly and/or quarterly reports for GSMISTS trusts, foundations, and related funding sources.
  7. Coordinate and manage troop fundraising approvals and money earning activity documentation.
  8. Prepare reports, presentations, correspondence, and development related materials.
  9. Provide support for CEO, and Human Resources and Governance administrative tasks.
  10. Perform other duties as assigned to support organizational operations.

Qualifications:

  • Associate degree or bachelor’s degree in business, Nonprofit management, or related field; or equivalent combination of education and experience
  • Minimum of 2 years of professional administrative or operations experience (nonprofit experience preferred)
  • Strong proficient in Microsoft Office 365, particularly Excel and data entry
  • Experience working with databases (CRM systems preferred; Bloomerang experience a plus)
  • Ability to manage multiple priorities with accuracy and efficiency
  • Strong written, verbal and interpersonal skills
  • Ability to handle confidential information with discretion
  • Exceptional attention to detail

Requirements:

  • Adherence to Girl Scouts of Michigan Shore to Shore policies and procedures.
  • Registration as a member of Girl Scouts of the USA.
  • Willingness to work a flexible schedule including evenings and weekends.
  • Willingness to travel as job requires.
  • Capability to provide own transportation and maintain valid operator license.
