About This Position
The Special Projects Coordinator supports organizational projects by assisting with planning, coordination, and day to day task execution across multiple departments. This role follows established project plans and works under the direction of supervisors or project leads to ensure assignments, timelines, and deliverables are completed accurately and on schedule. The individual gathers information, prepares documentation, maintains project files, and helps facilitate communication among stakeholders. This position requires strong organizational skills, attention to detail, professionalism, and the ability to support multiple workstreams while maintaining confidentiality and contributing to smooth project operations.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Assist in coordinating and supporting organizational projects and initiatives as assigned by leadership or project managers.
- Follow established project plans and instructions to help ensure tasks, timelines, and deliverables are completed accurately and on schedule.
- Conduct basic research, gather information, and compile data needed for project updates, reports, or decision making.
- Support communication efforts by preparing meeting notes, updating project trackers, and helping ensure stakeholders receive relevant information.
- Collaborate with departments to collect required materials, confirm task completion, and address routine project related questions.
- Help maintain organized project files, documentation, and status reports to keep workstreams running smoothly.
- Identify minor issues or delays and promptly escalate them to the appropriate supervisor or project lead.
- Maintain confidentiality and professionalism when assisting with sensitive or time critical assignments.
- Provide general administrative and logistical support for special projects, meetings, and cross departmental activities as needed.
Education:
- Bachelor’s degree in business administration, Project Management, Communications, or a related field preferred.
- PMP Certification preferred
- Equivalent combination of education and relevant experience may be considered.
Experience:
- 3–5 years of experience in project coordination, administrative support, operations, or a related role.
- Experience supporting cross departmental projects, tracking tasks, or maintaining documentation preferred.
- Familiarity with project management tools (e.g., Smartsheet, Asana, MS Teams, Planner, Wrike or similar) is a plus.
- Experience in a ministry, nonprofit, or fast paced office environment helpful but not required.
Knowledge/Skills/Abilities:
- Must be able to work independently
- High level of analytical skills to find solutions to complex technical and system problems.
- Ability to give, receive and analyze information, formulate work plans, prepare written reports
- Must be very organized and require minimum instruction
- Strong interpersonal skills to effectively communicate with all levels of supervisory and non-supervisory employees.
- Confident, self-starting and goal oriented.
TYPICAL PHYSICAL DEMANDS:
- Must be able to sit at a computer for a minimum of seven hours per day.
- Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, telephones and other office equipment
- Must be able to lift 50 lbs.
- Requires normal range of hearing and vision
- Must be able to pull, push, stand, sit, stoop, bend, reach, move or carry equipment
- Must be able to use hand tools, climb ladders and work under desks and on floors
