Job Title: Medical Records Clerk

Starting Salary Range: $36,365.55 - $42,783
Job Summary:
The overall purpose of this position is to manage and expedite incoming and outgoing medical records, manage requests to Datavant, and referral reconciliation.
Duties/Responsibilities:
- Clerk receives and verifies medical records requests, ensuring the appropriate authorizations have been made following the Insurance Portability and Accountability Act of 1996 (“HIPAA”) Privacy Rule that implements the requirement for release of records.
- Clerk will submit requests to Datavant, who will process routine requests within 10 business days.
- Clerk processes medical record requests in house such as BH records, medical supply/pharmacy orders, correction facility/forensic examiners, workers' compensation, affidavits, subpoenas, and dental records; as well as urgent requests that need to be expedited within 1-3 business days.
- Clerk verifies and requests medical records and manages incoming external consult notes and diagnostic reports. Ensure referral orders are closed as records are sent to the referring provider for signing off.
- Update and maintain the EHR order management system to document referral loop closures, ensuring that all consult notes and diagnostic orders are completed and reconciled.
Required Skills/Abilities:
- Knowledge and understanding of HIPAA regulations and patient confidentiality required.
- Knowledge of healthcare terminology including familiarity with the names of common subspecialties.
- Ability to communicate effectively and professionally both oral/written with a broad base of stakeholders (internal staff, community partners/provider offices, attorneys, etc).
- Attention to detail is essential for accuracy in patient data and legal compliance.
- Ability to solve problems and work independently with minimal supervision.
- Ability to manage multiple requests and deadlines in a fast-paced primary care environment.
- High level organizational skills with the ability to manage multiple priorities on varying timelines.
- Moderate level of desktop computer skills to include the O365 productivity software suite.
Education and Experience:
- A High School Diploma or GED is required.
- Associate's degree or Certification: Education or certification in a relevant field is preferred.
- 1-3 years of experience is preferred.
