JOB SUMMARY:
The primary function of the Residential Services Coordinator is to welcome, register, orient and provide services for guests of the Weingart Center. The Residential Services Coordinator provides services as needed to program administrative staff in an efficient, accurate, friendly, and consistent manner. The Residential Services Coordinator prepares and maintains registration records, receives, directs, and handles Center phone calls and messages in the absence of the telephone operator, and prepares and maintains program and hotel log entries.
ESSENTIAL FUNCTIONS INCLUDE, but are not limited to the following:
Welcome, orients and registers guests.
Maintains an updated logbook communicating activities relating to or affecting housing.
Works with guests to solve housing problems or provide other services as needed.
Coordinates maintenance and housekeeping activities to ensure timely availability of rooms for rent.
Issues, collects room keys and passes from residents.
Ensures that all vouchers are properly signed.
Assists security as needed.
Advises or assists the housekeeping department of “pack-out” rooms as appropriate.
Accompany housekeeping personnel to accurately record and direct daily “pack-out” procedure as assigned.
Other duties as assigned.
Reports for work as scheduled.
Works effectively with co-workers, customers, and others by sharing ideas in a constructive and positive manner; listening to and objectively considering the ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues constructively to find mutually acceptable and practical business solutions; addressing others by name, title or other respectful identifier, and respecting the diversity or our work force in actions, words and deeds.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
Excellent customer service skills.
Ability to perform basic arithmetic calculations (add, subtract, multiply, divide).
Ability to listen effectively to both guests and staff.
Ability to exercise good judgment sufficient to enforce rules and regulations; maintains safe atmosphere for guests, staff, and visitors.
Ability to maintain and provide calm and courteous attitude in volatile and stressful situations.
Ability to maintain good working relationships with co-workers.
Front office appearance -- professional appearance suitable to greet public.
Reliable attendance, prompt arrival on scheduled shifts.
Flexibility to change priorities regarding assignments and work schedule.
REQUIRED EDUCATION/TRAINING AND EXPERIENCE:
AA degree or BA Degree or equivalent work experience.
Bilingual (English/Spanish) skills a plus.
PHYSICAL AND MENTAL REQUIREMENTS AND WORK ENVIRONMENT:
Sitting and standing for long periods of time, walking, stooping, and bending.
Ability to move to various physical locations in the complex.
Ability to see, hear and talk clearly to receive instructions and to give instructions.
Complex reading skills, complex writing skills, judgment, and decision-making capability.
Ability to be self-directed in work and work well with others as part of a case-work team.
Work indoors in a temperature-controlled environment.
Ability to work well under highly stressful conditions, to interact with needy participants, to set realistic goals, to establish healthy boundaries.
Ability to respond effectively to the most sensitive inquiries or complaints.
High level concentration and attention to detail for extended periods of time required.
Ability to quickly organize and communicate thoughts and to understand communications from others.
Ability to work independently, with others and around others, to have verbal contact with others, face-to-face contact with others, and to prioritize work and make decisions.
Must be fully vaccinated against COVID-19 as defined by CDC.
