About This Position

About the Role:

The Intake Specialist plays a critical role in the initial phase of client engagement by efficiently gathering, verifying, and documenting essential information to facilitate smooth service delivery. This position serves as the first point of contact for clients, ensuring that their needs are accurately understood and appropriately directed within the organization. The Intake Specialist collaborates closely with various departments to coordinate intake processes, maintain accurate records, and support compliance with organizational policies and regulatory requirements. By managing sensitive information with confidentiality and professionalism, the Intake Specialist helps build trust and rapport with clients. Ultimately, this role contributes to the overall effectiveness and responsiveness of the organization’s client services.

Minimum Qualifications:

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Proven experience in a client-facing role, preferably in healthcare, social services, or related fields.
  • Strong organizational skills with attention to detail.
  • Proficiency in using electronic data management systems and basic computer applications.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Experience working with diverse populations and understanding of cultural competency.
  • Familiarity with relevant privacy laws such as HIPAA.
  • Background in case management or social work.
  • Ability to handle sensitive information with discretion and professionalism.
  • Bilingual abilities or multilingual skills.

Responsibilities:

  • Conduct thorough client interviews to collect necessary personal, medical, or service-related information.
  • Verify and document client eligibility and intake data accurately in electronic systems.
  • Coordinate with internal teams to ensure timely processing and follow-up of intake cases.
  • Maintain confidentiality and security of all client information in compliance with privacy regulations.
  • Provide clear communication and support to clients regarding intake procedures and next steps.
  • Identify and escalate any issues or discrepancies in client information to appropriate personnel.
  • Assist in preparing reports and maintaining records related to intake activities.

Skills:

The Intake Specialist utilizes strong communication skills daily to effectively engage with clients and gather accurate information, ensuring clarity and empathy throughout the intake process. Organizational and detail-oriented skills are essential for managing multiple cases simultaneously and maintaining precise records in electronic systems. Proficiency with data entry and management software supports efficient documentation and retrieval of client information. Problem-solving skills enable the specialist to identify discrepancies or issues in client data and coordinate with relevant teams to resolve them promptly. Additionally, interpersonal skills foster collaboration with internal departments and build trust with clients, enhancing the overall service experience.

Job Type: Full Time/ Monday - Friday 8:30 a.m.- 5:00 p.m.
