BoxCar Mortgage is looking for a Disclosure Desk Coordinator who will be responsible for preparing, reviewing, and tracking initial disclosure packages, redisclosure packages, and initial Closing Disclosures (CDs) for residential loans with a high degree of accuracy. This position requires knowledge of federal and state lending regulations, strong attention to detail, and the ability to work under tight deadlines. The Coordinator supports the disclosure team by ensuring compliance with all applicable requirements and providing quality service to internal and external customers. Excellent written and verbal communication skills are essential.
THE PLAN

- Prepare initial disclosure packages, redisclosure packages, and initial CDs according to specific product and underwriting requirements.
- Review and audit disclosure documents for accuracy and compliance with federal, state, and investor regulations.
- Monitor dashboard time frames and prioritize workflow to ensure timely delivery and compliance with required disclosure deadlines.
- Track all initial and redisclosures to confirm required time frames are met and maintain compliance.
- Order, prepare, and verify required documents necessary for the loan to disclose and close in compliance.
- Communicate with operations and sales staff to address items needed to ensure compliance with initial and redisclosures.
- Work with the compliance team to test and verify that all necessary loan documents are in place for each state and loan program.
- Maintain knowledge of the requirements for Conventional, FHA, RD, and VA loans, as well as the differences between refinance and purchase transactions.
- Update and maintain checklists and audit measures to identify and prevent recurring errors.
- Maintain up-to-date knowledge of internal policies, procedures, and applicable laws and regulations.
- Maintain customer confidence by providing quality service and keeping all files and information confidential.
- Maintain industry knowledge by attending appropriate educational workshops, classes, or other industry-related activities.
ROLE EXPECTATIONS
What we’re looking for
- High school diploma or equivalent required.
- 2+ of mortgage processing, closing, or disclosure experience required.
- 2+ of customer service experience required.
- Proficient in Microsoft Office, including Word, Excel, Outlook, and mortgage-related software.
- Strong attention to detail with the ability to handle high volume and multiple priorities.
- Effective interpersonal and communication skills (written and verbal).
- Professional demeanor and interaction with all internal and external customers.
- Ability to work effectively both independently and in a team-oriented environment.
- Must be a self-starter with the ability to work with minimal supervision while producing quality results.
- Any equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.
