Billing Specialist at Goodwyn Mills Cawood LLC – Montgomery, Alabama

Goodwyn Mills Cawood (GMC) is one of the largest privately held architecture and engineering firms in the Southeast.

GMC is seeking a detail‑driven and proactive Billing Specialist to support our financial operations for the Architecture Department in Montgomery, AL. This role is central to ensuring financial accuracy, contract compliance, and timely billing across a diverse portfolio of projects throughout the Southeast. The ideal candidate thrives in a collaborative environment, communicates effectively with project managers, and brings strong organizational and analytical skills to a fast‑paced, deadline‑oriented setting.

Essential functions and responsibilities include:

Billing & Revenue Management

• Prepare, review, and issue accurate monthly client invoices for architecture projects.
• Monitor billing schedules, contract terms, and project milestones to ensure timely revenue recognition.
• Track accounts receivable and support follow‑up efforts to maintain healthy cash flow.

Contract & Consultant Management

• Review and maintain contract documentation, including fee structures, billing requirements, and compliance obligations.
• Coordinate with external consultants to collect invoices, verify contract alignment, and ensure timely processing.
• Maintain organized records of contract amendments, change orders, and consultant agreements.

Project Financial Support

• Partner with project managers across the Southeast footprint to review project status, budgets, and billing progress.
• Provide financial insights to help project teams manage profitability and forecast revenue.
• Assist with project setup, budget entry, and financial reporting as needed.

Monthly Close & Accruals

• Prepare monthly accruals for unbilled revenue and consultant expenses.
• Reconcile project financials to ensure accuracy of revenue and cost reporting.
• Support month‑end close activities in coordination with the accounting team.

Process Improvement & Compliance

• Identify opportunities to streamline billing, contract tracking, revenue recognition and financial workflows.
• Ensure adherence to internal controls, accounting policies, and audit requirements.
• Maintain confidentiality and accuracy in all financial documentation.

Minimum qualifications:

• Bachelor’s degree in Accounting, Finance, Business Administration, or related field required.
• 5-7 years of experience in billing, project accounting, or contract administration, AEC industry preferred.
• Strong understanding of revenue recognition, accruals, and project‑based accounting.
• Proficiency with accounting/project management software (e.g., Deltek, Ajera, or similar).
• Excellent communication skills and the ability to collaborate with cross‑functional teams.
• High attention to detail, strong organizational skills, and the ability to manage multiple deadlines.
