DREMC is seeking a Purchasing Coordinator.

Location: Shelbyville, TN

Job purpose:
Responsible for the coordination and processing of purchasing related documents. To include pricing documentation, purchase requisitions, invoices and receiving reports. Works with both internal and external contacts to optimize vendor relationships while providing the cooperative with best cost and quality, and timely delivery for needed goods and services.

Job Dimensions:

Internal Responsibility: Under minimal supervision, this role assists with the day-to-day operations of the purchasing function supporting Cooperative staff with vendor and inventory needs.

External Responsibility: Cultivates relationships with vendors and software providers to ensure effective and efficient support in meeting Cooperative needs.

PRINCIPAL ACCOUNTABILITIES

1. Responsible for contract database for DREMC.

2. Responsible for invoice reconciliation for materials purchases, including receipt verification, purchase order discrepancy resolution and return authorizations for quality issues.

3. Assists with the preparation of requests for proposals for new vendors.

4. Records physical asset data into warehousing system.

5. Responsible for inventory and procurement management of janitorial and office supplies.

6. Assists with annual physical inventory to include working with auditors and researching inventory items.

7. Maintains system for both physical and electronic documentation for the finance department.

8. Assists Senior Purchasing Manager with the Cooperative fleet.

9. Assisting Plant Accounts with work order process closing.

10. Manage Return Material Authorization Process for warranty and incorrect shipments.

11. Construction Work in Progress Monthly Reporting.

12. Responsible for checking overdue purchase orders.

13. Emergency response coverage as needed.

MINIMUM REQUIREMENTS

Education: Associate degree from an accredited college/university in procurement, supply chain management, business or a related field is required.

Experience: Minimum three (3) years of experience in office administration required. Experience with accounts payable processes, procurement/purchasing of materials, equipment and supplies preferred. Utilization of an inventory software system preferred. Experience in general utilities, contracting or construction is a plus.

Experience in lieu of education: Six (6) years of experience in lieu of education will be considered.

Certification/License, etc.: Certificates and/or licenses relevant to utilities, purchasing, accounting or inventory control are preferred. Must be willing to actively pursue industry related training including but not limited to TVPPA Purchasing and Accounting classes. Valid Tennessee Driver’s License or ability to obtain license prior to first day of employment is required. Must be eligible to remain insured as a driver by the Cooperative’s group liability policy for the automotive fleet.

Knowledge/Skills/Abilities: An understanding of the electric utility industry, accounting and purchasing is preferred. Ability to gain an in-depth understanding of the materials used by an electric utility. Must have ability to learn and use multiple software systems. Possesses excellent oral and written communication skills and the ability to communicate effectively with internal and external contacts. Capability of staying abreast of market and industry trends.

Physical Requirements: Prolonged periods of sitting at a desk and working on a computer. Frequent use of hands and fingers to operate a keyboard, telephone, and other office equipment. Ability to occasionally stand, walk, bend, and reach. May occasionally lift or carry up to 25 pounds (such as files, office supplies, or promotional materials). Must have visual acuity to read printed materials and a computer screen, and auditory ability to communicate effectively in person and by phone.

Work Environment: Work is performed in a professional office environment with a standard climate-controlled setting. The role involves frequent interaction with members in person, by phone, and via email or online platforms. May involve occasional stressful situations when resolving member concerns or handling high call volumes. The environment is generally quiet to moderate noise levels and includes shared workspaces or customer service counters. Limited travel may be required for training, meetings, or community outreach events.
