This role offers an opportunity to lead and optimize the management of workplace systems, technology, and assets across a dynamic organization. You will own the lifecycle of all workplace tools and equipment, ensuring staff have seamless access to the platforms, devices, and processes needed to perform effectively. The position requires both strategic oversight and hands-on execution, including vendor management, system administration, and process improvement. You will act as a central liaison between IT, HR, operations, and other teams to maintain accuracy, security, and efficiency. This role is ideal for a detail-oriented leader who thrives in a fast-paced, remote environment and enjoys balancing operational rigor with people-focused support. Your work will directly impact organizational productivity, security, and overall workplace experience.
- Oversee the full lifecycle of workplace assets, including laptops, phones, printers, and shared equipment, ensuring proper tracking, deployment, and retirement.
- Manage and maintain workplace systems and software platforms, including administration, access controls, and training for staff.
- Lead vendor relationships for workplace tools, devices, and services, ensuring service quality and escalation procedures.
- Supervise and mentor Workplace Operations Coordinators, providing guidance, workload prioritization, and performance management.
- Develop and maintain documentation, SOPs, and training materials for workplace systems, assets, and workflows.
- Identify opportunities to improve operational efficiency, streamline processes, and implement automations across workplace systems.
- Support organization-wide initiatives such as system rollouts, office openings/closings, onboarding, and offboarding events.
Requirements:
- Undergraduate degree preferred with at least 2 years of relevant experience, or high school diploma with 5+ years of relevant experience.
- Hands-on experience with IT asset management, inventory tracking, and lifecycle management of devices and accessories.
- Demonstrated system administration experience, including account provisioning and user permissions management.
- Experience coordinating across multiple teams or sites in a matrixed environment.
- Strong analytical, problem-solving, and organizational skills with exceptional attention to detail.
- Proficiency with workplace software platforms such as Microsoft 365, Zoom, Adobe, and related tools.
- Ability to multitask, prioritize work, and manage deadlines in a fast-paced, remote work environment.
- Excellent communication and collaboration skills; fluency in English required, Spanish preferred but not mandatory.
- Ability to travel domestically as needed (5–10% or less).
