About This Position

Description:

We are seeking an Assistant Office Manager to support the day-to-day operations of our dental practice while serving as a lead presence at the front desk. This role is ideal for a highly organized, patient-focused professional who brings strong front-office experience along with emerging or established leadership skills.

This position functions as an elevated Front Desk Concierge, with added responsibility for team support, workflow coordination, and operational oversight. While there is no immediate urgency to fill the role, we are interested in identifying strong candidates who can add value to our practice and support future growth.


Key Responsibilities

Front Office & Patient Experience

  • Serve as a lead point of contact for patients, ensuring an exceptional patient experience
  • Oversee front desk operations including check-in/check-out, scheduling, and phone coverage
  • Address patient questions, concerns, and escalations professionally and efficiently
  • Ensure accuracy and consistency in patient records and documentation

Team Support & Leadership

  • Act as a resource and support for front desk team members
  • Assist with onboarding and training of new front office staff
  • Help maintain accountability for schedules, coverage, and daily workflows
  • Step in as acting manager when needed

Operational & Administrative Support

  • Support the Office Manager in daily operations and administrative tasks
  • Assist with insurance verification, billing coordination, and payment discussions as needed
  • Monitor schedules for efficiency and productivity
  • Help ensure office policies and procedures are followed consistently

Practice Coordination

  • Collaborate with clinical and administrative teams to ensure smooth patient flow
  • Communicate effectively with providers regarding schedules and operational needs
  • Support initiatives that improve efficiency, organization, and patient satisfaction
Requirements: Qualifications
  • Previous experience in a dental front office or healthcare administrative role required
  • Strong knowledge of scheduling, insurance verification, and patient communication
  • Demonstrated leadership or supervisory experience preferred
  • Excellent communication and interpersonal skills
  • Highly organized, proactive, and detail-oriented
  • Comfortable handling sensitive information and maintaining confidentiality
  • Experience in a fast-paced, patient-centered environment
