Job Summary

We are seeking a highly organized, detail-oriented Administrative & HR Assistant to support the DFBO and CEO while assisting with day-to-day administrative operations, recruiting, and human resources functions. This role is critical to ensuring efficient office operations, a positive employee experience, and effective internal coordination. The ideal candidate is proactive, professional, and capable of balancing administrative responsibilities with HR support in a fast-paced environment.

Responsibilities

· Administrative & Executive Support

· Provide administrative support to the DFBO and CEO to ensure efficient daily operations.

· Manage and maintain calendars, appointments, and take meeting notes.

· Assist with data entry, filing, record keeping, and document management.

· Perform general administrative duties and assist with special projects as assigned.

· Office Management

· Maintain office supplies and help maintain a clean, organized, and professional office environment.

· Collaborate with internal teams to support smooth office operations.

· Recruiting & Talent Support

· Assist with recruiting efforts, including scheduling and coordinating interviews.

· Conduct initial candidate interviews to assess qualifications and cultural fit.

· Collaborate with hiring managers to develop interview questions and evaluation criteria.

· Ensure a positive and professional candidate experience throughout the hiring process.

· Onboarding & Offboarding

· Coordinate onboarding for new hires, including preparation of orientation materials and schedules.

· Conduct or support orientation sessions covering company policies, procedures, and culture.

· Ensure all required onboarding documentation is completed, collected, and properly filed.

· Manage offboarding processes, including exit interviews and collection of company property.

· Ensure compliance with legal and regulatory requirements during onboarding and offboarding.

· Provide support to employees transitioning into or out of the organization.

· HR Administration & Employee Support

· Maintain accurate and confidential employee records and HR documentation.

· Assist employees with benefit enrollment during onboarding and open enrollment periods.

· Serve as a point of contact for employee inquiries related to benefits, policies, and HR procedures.

· Assist in the development, implementation, and maintenance of HR policies and procedures.

· Support employee engagement initiatives, including surveys and team-building activities.

· Provide guidance and support on general HR-related questions and concerns.

· Stay current on HR best practices, employment laws, and regulatory requirements to support compliance.

· Data Management & Reporting

· Prepare and maintain accurate records and reports.

· Support the organization and retrieval of electronic and physical documents.

· Continuously identify opportunities to improve administrative and HR processes and efficiency.

Education and Experience

· Associate degree or higher in business administration, human resources, or a related field.

· Minimum of two (2) years of prior experience in office support, administrative, or similar roles.

· Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).

· Experience supporting recruiting, onboarding, or employee records management preferred.

· Familiarity with HR systems.
