E11 Bio - Scientific Operations Manager

E11 Bio is a nonprofit organization tackling a neuroscience moonshot: to develop a radical technology platform for scalable mammalian brain mapping. E11 Bio is seeking a highly organized Scientific Operations Manager to support scientific program execution, documentation systems, and operational workflows across the organization.

This is a cross-functional, execution-focused role that combines meeting coordination, documentation discipline, hiring and contractor administration, compliance support, and logistical follow-through. You will work closely with scientific leadership and operations to ensure that projects move forward clearly, commitments are tracked, and administrative systems run smoothly.

This is an onsite role based in Alameda, CA.
Responsibilities
  • Scientific Program Coordination Support
  • Schedule internal and external meetings, workshops, and scientific reviews.
  • Coordinate shared resources, meeting logistics, and Zoom setup.
  • Ensure actionable notes are captured, archived, and distributed.
  • Track meeting commitments and follow up to ensure completion.
  • Support OKR cycles and maintain up-to-date documentation (SOPs, shared records, internal knowledge systems).
  • Enforce norms for project reporting, documentation, and internal communication.
  • Coordinate quarterly review cycles and maintain visibility into scientific and operational progress against defined milestones.

  • Operational & Compliance Support
  • Support regulatory and compliance-related administrative processes in coordination with leadership.
  • Coordinate vendor onboarding workflows for accounting and internal approval.
  • Maintain organized records required for reporting and audit readiness.

  • Contractor Administration & Hiring
  • Coordinate onboarding of contractors, including documentation and system access.
  • Provision and manage Slack, Notion, calendar, and other software access.
  • Manage contractor reimbursements and related documentation.
  • Post open roles, manage hiring paperwork workflows, interview candidates.

  • Finance, Logistics & Events
  • Sign and process reimbursements and multi-month wellness benefits.
  • Coordinate reimbursements and travel logistics for external guests.
  • Find relevant conferences, manage conference registrations and logistics for staff.
  • Plan and execute internal team events and gatherings.

  • Communications & Systems Administration
  • Maintain shared inboxes (e.g., info@) and ensure timely routing of inquiries.
  • Update website content as needed.
  • Administer SaaS accounts and manage renewals.
  • Ensure shared operational systems remain organized and current.
Qualifications
  • Essential
  • Prior experience in operations, program coordination, research administration, or a similar execution-focused role.
  • Strong organizational skills and rigorous attention to detail.
  • Clear communication skills and consistent follow-through.
  • Comfort managing documentation systems and structured workflows.
  • Experience coordinating meetings and tracking commitments across multiple stakeholders.
  • Experience with shared digital tools (Google Workspace, Slack, Notion, Zoom, etc.).
  • Ability to manage sensitive information with discretion.
  • Ability to work onsite in a fast-paced, collaborative environment.
  • References required.

  • Nice to have (not required):
  • Interest in or familiarity with neurobiology or neuroscience research.
  • Experience in a mission-driven, nonprofit, or startup-style organization.

  • By three months, you will have:
  • Learned E11s quarterly planning cadence, documentation systems, and meeting norms.
  • Taken ownership of scheduling, note capture, and commitment tracking for core scientific and operational meetings.
  • Built working relationships with scientific and operational staff across teams.
  • Established reliable workflows for hiring paperwork, contractor onboarding, reimbursements, and vendor coordination.

  • By one year, you will have:
  • Strengthened and streamlined documentation and tracking systems to support a growing organization.
  • Reduced ambiguity around commitments, deadlines, and responsibilities by improving follow-up systems.
  • Improved administrative efficiency across hiring, contractor management, and reimbursement workflows.
  • Helped embed operational discipline that enables scientific teams to focus more fully on research execution.

Base salary range: 96k - 165k
Bonus: Performance-based, up to 20% of base salary
401k match: up to 6% of base salary
Total potential compensation range: 121k - 207k
