About This Position
POSITION SUMMARY:
The Human Resources Assistant provides administrative and operational support to the Human Resources department. This role assists with recruitment, onboarding, employee records, benefits administration, compliance tracking, and employee engagement activities. The Human Resources Assistant plays a critical role in maintaining confidentiality, supporting regulatory compliance, and ensuring a positive employee experience in a healthcare setting.
Essential Accountabilities

Performs reference checks on candidates prior to hiring decisions

Verifies professional licensure, certifications, and required documentation

Assembles and prepares new hire onboarding packets

Assists new employees with pre-employment paperwork, background checks, and drug testing

Conducts or assists with new employee orientation and HR training seminars

Maintains accurate and confidential employee personnel files (paper and electronic)

Tracks benefit eligibility and processes employee benefit elections and changes

Provides administrative support to HR and Payroll, including word processing, correspondence, and confidential recordkeeping

Creates and manages employee identification badges

Prepares and distributes employee birthday cards and recognition items

Participates in employee council meetings and assists with planning employee engagement events and parties

Identifies, logs, and tracks facility contracts and assists with contract documentation management

Responds to employee inquiries regarding HR policies, procedures, and general employment questions

Assists with auditing HR files to ensure compliance with internal policies and regulatory requirements
Compliance & Confidentiality

Maintains strict confidentiality of employee, patient, and organizational information Adheres to HIPAA guidelines and demonstrates professional conduct at all times

Understands and follows established compliance, safety, and quality assurance standards

Supports HR compliance with federal, state, and local employment regulations
Additional Responsibilities

Assists with recruitment activities including job postings, interview scheduling, and applicant tracking

Maintains HR databases and HRIS records accurately and timely

Supports performance review cycles and employee documentation processes

Assists with tracking employee training, certifications, and mandatory education Provides support during audits, surveys, and inspections as needed

Performs other HR-related duties as assigned

Education & Experience

High school diploma or equivalent required; associate degree in Human Resources or related field preferred

Previous administrative or HR experience preferred, especially in a healthcare environment
