The Floor Plan Manager oversees and enhances the operational efficiency, compliance, and service delivery of the Auto/Wholesale division. This role combines commercial relationship management, credit and operational oversight, and team leadership to ensure the bank’s commercial portfolio is serviced efficiently, compliantly, and profitably. Responsibilities typically include monitoring credit risk, overseeing inventory financing activities, and ensuring compliance with contractual agreements.
• Team & Workflow Management
o Manage daily workflow, delegate tasks, and organize employee schedules to ensure smooth operations.
o Ensure employees understand their duties, assigned tasks, and performance expectations.
o Monitor employee productivity, track performance, and provide constructive feedback or coaching.
o Conduct performance reviews and recommend corrective or disciplinary actions when necessary.
o Set team goals and ensure alignment with company objectives, deadlines, and performance standards
• Issue Resolution & Support
o Address conflicts, challenges, or concerns raised by team members or external stakeholders.
o Serve as the first line of support to help employees overcome obstacles in their tasks.
• Dealer Portfolio Management & Relationship Building
o Manage an assigned portfolio of dealer floor plan accounts, ensuring satisfaction, proper usage of credit lines, and adherence to financing terms.
o Educate clients on account performance, financing options, and best practices to ensure compliance and maximize credit utilization.
• Dealer Communication & Collections Activity
o Contact dealers via phone, email, letters, or in person visits to discuss outstanding balances and resolve issues.
o Discuss reasons for overdue payments while reviewing loan terms, collateral arrangements, and credit agreements.
o Provide information on payment options and negotiate repayment plans or curtailment schedules that align with dealer capabilities.
• Payment Plan Negotiations & Resolutions
o Develop tailored repayment agreements considering the dealer’s financial condition and inventory turnover.
o Investigate discrepancies, missing payments, and account irregularities, and adjust account records accordingly.
• Inventory Financing & Operational Execution
o Oversee all inventory financing activities within the portfolio, ensuring accurate and timely funding.
o Support dealers with documentation, account servicing, and operational problem resolution.
o Conduct routine calls and on site visits to monitor inventory, understand client needs, and maintain engagement.
• Physical Inventory Inspection
o Review and compare dealership floorplan records, inventory lists, and lender documentation for accuracy and completeness.
o Identify inconsistencies (e.g., missing titles, incorrect VIN entries, “not received” units, or status mismatches) and initiate revision steps to correct or escalate findings.
o Ensure the dealership is adhering to terms of its floorplan financing agreement, including inventory control, documentation standards, and timely curtailments.
o Identify potential high risk conditions such as “sold out of trust” (SOT) situations, missing vehicles, fraudulent reporting, or double flooring red flags.
o Communicate inspection results, discrepancies, and follow up requirements to lender audit teams and dealership management.
o Provide recommendations to strengthen inventory controls and improve compliance processes.
• Risk Management & Credit Oversight
o Monitor dealer performance, assess creditworthiness, and identify early risk indicators.
o Review dealership financial statements and internal reports to evaluate economic conditions affecting borrower performance.
o Manage collections and conduct pre and post default mitigation in coordination with Commercial Relationship Officers.
o Ensure compliance with company policies, floor plan agreements, and regulatory guidelines.
• Internal Collaboration & Reporting
o Collaborate with internal partners (credit, underwriting, risk, operations) to ensure smooth delivery of financial solutions.
o Maintain detailed activity logs and client records.
o Prepare reporting on portfolio performance, dealer utilization, sales activities, and risk findings.
• Compliance, Documentation & Reporting
o Keep accurate records of all communications, promises to pay, collection attempts, and payment activity.
o Ensure adherence to collection laws, banking regulations, and internal policies related to floorplan lending.
o Prepare reports on delinquency trends, credit risk, account status, and recovery outcomes.
• Cross Functional Coordination
o Collaborate with credit, lending, legal, accounting, and risk management teams to resolve complex account issues.
o Review insurance claims related to collateral protection or mechanical warranties to offset losses.
o Assist in preparing accounts for charge off, legal action, or workout strategy planning.
Bachelor’s degree in finance, Business Administration, Accounting, or related field preferred.
- Five (5)+ years of experience in collections, auto finance, floorplan lending, or related credit functions.
- Experience supervising employees is required.
- Proven experience in commercial credit is required.
• Effective oral and written communication skills in Spanish (advanced level) and English (fluent)
• Proficient in Microsoft Office 365, including Excel, Word, Power Point, Teams and Outlook
• Strong communication and negotiation skills with the ability to handle difficult conversations professionally.
• Knowledge of collection laws, credit policies, loan documentation, and inventory-based collateral.
• Strong analytical, problem solving, and time management abilities.
