About the Job:
The Administrative Support Associate provides administrative support focused on lead inspection reporting and documentation. This role begins with a scope centered on report preparation and data management, with the opportunity to expand into scheduling and coordination functions as operational needs grow.
What You'll Do:
Initial Focus:
Reporting & Documentation Support
- Process XRF-related data and documentation accurately
- Create and maintain organized digital folders for each project
- Draft affidavits based on provided templates and information
- Prepare document cover sheets and add relevant comments
- Convert sketches and supporting files into PDF format and upload them to designated folders
- Upload and organize filed licenses and supporting documents
- Generate XRF reports based on available data
- Review and filter report details to ensure completeness and accuracy
- Identify and correct discrepancies or errors prior to submission
- Compile and combine full reports into final deliverables
- Coordinate with stakeholders (e.g., via email) for sharing and final review of report
Future Scope Expansion (Progression Plan)
As the resource becomes more proficient and business needs evolve, the role is expected to expand to include:
Scheduling & Coordination
- Coordinate inspection schedules via phone calls, SMS, or email
- Communicate with tenants or clients to confirm availability
- Track and manage job schedules for lead XRF inspections
- Maintain and update scheduling tools or trackers
- Conduct follow-ups to ensure schedule adherence
Operational Support
- Assist in managing inspection workflows and timelines
- Support broader administrative and coordination tasks as needed
What You'll Bring:
- Bachelor’s Degree in Business Administration, Office Administration, Communications, or any related field; Associate or vocational graduates with relevant experience are also encouraged to apply
- At least 1 year of relevant experience in administrative support, data entry, reporting, or back-office operations (BPO/shared services experience is an advantage)
- High attention to detail with the ability to follow standardized processes and ensure accuracy in documentation
- Strong written English communication skills, with the ability to handle email coordination professionally; willingness to handle calls or SMS for scheduling as the role expands
- Proficiency in Microsoft Office tools (Excel, Word, Outlook); experience with Google Workspace is a plus
- Strong organizational and multitasking skills, with the ability to manage deadlines in a fast-paced, task-driven environment
- Self-motivated and reliable, with the ability to work independently in a part-time setup while maintaining productivity and quality standards
- Adaptable and willing to learn, with openness to take on additional responsibilities (e.g., scheduling and coordination) as the role progresses

19,000 - 21,000 PHP per month(Bacolod Office)
