Job Description
The Medical Records Specialist is responsible for delivering exceptional service on behalf of Cesar Ornelas Injury Law while maintaining the highest ethical standards. In a collaborative team environment, this role works to identify all medical providers involved in treatment, request and obtain medical records and billing. This position works closely with the Lead Attorney and Case Manager to review files daily and maintain accurate records within the firm’s case management and document systems.
Key Responsibilities
· Communicate daily to gather complete medical provider and treatment information.
· Request, track, and obtain medical records and billing from providers in accordance with firm policies and procedures.
· Conduct ongoing follow-up with providers to ensure timely receipt of requested documentation.
· Organize and maintain medical files, ensuring all records and bills are properly filed in both physical and electronic case management systems.
· Collaborate closely with Lead Attorneys and Case Managers to review cases, identify missing documentation, and resolve issues impacting demand preparation.
· Communicate requests and case updates promptly to the Lead Attorney and Case Manager.
· Work with Auditors to meet firm demand and medical/billing request goals.
· Provide professional service and communication to medical providers by phone, email, and in person.
· Follow up on active demand files to obtain supplemental medical information as needed for incomplete demands.
Requirements:Qualifications
· Strong organizational and file management skills
· Ability to manage high-volume requests and deadlines in a fast-paced environment
· Excellent written and verbal communication skills
· Detail-oriented with strong follow-up abilities
· Experience in personal injury law, medical records, or legal case management preferred
· Proficiency in case management/document management systems preferred
