This role is central to the smooth day-to-day operations of a residential condominium community, providing essential administrative and resident support within a fast-paced property management environment. You will act as a key point of contact for homeowners, ensuring inquiries are handled efficiently and with professionalism while supporting the property management team in a wide range of operational tasks. The position combines customer service, administrative coordination, and community support, requiring strong organizational skills and attention to detail. You will help maintain accurate records, manage communication channels, and support compliance and financial tracking activities. This is a highly interactive role where responsiveness, clarity, and empathy directly enhance resident experience. Working closely with management, you will also contribute to improving community operations and overall service quality.
- Provide front-line administrative and customer support by answering calls, responding to resident inquiries, and resolving or escalating concerns appropriately.
- Maintain accurate homeowner records, databases, files, mailings, and office supplies to ensure efficient office operations.
- Support property management with scheduling, reporting, communications, and preparation of newsletters, notices, and website updates.
- Process and track work orders related to maintenance, landscaping, housekeeping, and other community services.
- Assist with financial and accounting-related tasks, including receivables review, payment processing, income recording, and resident account inquiries.
- Support compliance and administrative processes such as ARC requests, lease reviews, and owner approval packages.
- Help manage community access control requests (fobs, remotes, gate access, etc.).
- Conduct property inspections and support covenant enforcement activities when required, including documenting and tracking violations.
- Assist with board meeting preparation and participation as requested by management.
- High school diploma or equivalent required.
- 1+ year of administrative support or related experience in an office or customer service environment.
- Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
- Excellent communication skills, both written and verbal, with strong customer service orientation.
- Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- Ability to handle sensitive situations with professionalism, discretion, and conflict resolution skills.
- Strong time management skills with the ability to prioritize competing tasks effectively.
- Comfort learning and using new technologies and systems.
- Ability to work independently while also supporting a collaborative office environment.
- Multilingual ability is a plus depending on community needs.
