What Makes This Role SpecialWe're seeking a Staff Accountant who's ready to dive into the action! This isn't your standard accounting office position – you'll keep the financial wheels turning in our dynamic auction environment while playing a vital role supporting our front office operations with hands-on assistance where needed. Your Day-to-Day Adventures- Journal daily banking transfers between accounts and ensure accurate financial tracking
- Process dealer payments via ACH with precision and timeliness
- Handle miscellaneous transaction journaling including SmartCash and vendor payments from operating accounts
- Ensure all deposits are properly posted to auction management system or journaled to QuickBooks
- Reconcile bank deposits with auction management system and QuickBooks records for accuracy
- Manage operating account decisions for items presented at the bank
- Resolve accounts payable and vendor issues efficiently
- Coordinate Brinks orders for cash management needs
- Perform credit card reconciliation and journal expenses to QuickBooks
- Maintain petty cash reconciliation and controls
- Prepare and file Form 8300s with the IRS as required
- Process 1099s and 1096s according to IRS requirements
- Support audit processes by answering auditor questions and providing documentation
- Process check deposits and cash deposits accurately
- Manage prepaid expenses and accrued expenses accounting
- Handle Deal Shield payable processing and reconciliation
- Work your magic both as part of our fantastic team and independently when needed
- Become our go-to expert for auction financial processes and problem-solving
- Support Tuesday auction day operations ensuring smooth financial flow
- Provide hands-on administrative support to front office team as needed during auction days
- Be willing to assist with various administrative tasks to support auction operations
- Associate degree in Accounting, Finance, or related field (or equivalent experience)
- 3+ years of accounting experience with strong emphasis on banking operations, reconciliations, and transaction processing
- Experience with ACH payment processing and electronic fund transfers
- Proficiency in QuickBooks and auction management software systems
- Strong Excel skills and database management capabilities
- Experience with banking reconciliations and deposit processing
- Knowledge of IRS reporting requirements, including Form 8300 filings
- Understanding of prepaid expenses, accrued expenses, and general accounting principles
- Experience supporting audit processes and working with external auditors
- Legal authorization to work in the U.S. and ability to pass our background check and drug screening
- Ability to maintain accuracy while processing transactions
- Strong written and verbal communication skills for vendor and dealer interactions
- Excellent time management and ability to meet tight deadlines
- Analytical thinking to resolve discrepancies and process issues
- Flexibility to provide administrative support during auction days
- Comfort working in a fast-paced auction environment with varying daily demands
- Experience in automotive, auction, or wholesale industries (preferred but not required)
