Position Summary

The Systems Administrator is responsible for the hands-on administration, maintenance, integration, and optimization of all company technology systems across corporate and clinic locations. This role owns CRM (HubSpot), EMR systems, infrastructure stability, user access control, asset tracking, and new clinic IT deployment. This is a technical execution role focused on system reliability, security, and scalability. This position does not include direct people management responsibilities but serves as the primary technical owner of IT systems across the organization.

Core Responsibilities

  1. Systems & Infrastructure Administration
  • Install, configure, and maintain servers, operating systems, and SaaS platforms
  • Perform database backup and recovery operations
  • Ensure data integrity through access controls and encryption
  • Monitor system performance and implement optimization strategies
  • Maintain system documentation and architecture diagrams
  • Troubleshoot system and network issues across all clinic locations
  • Coordinate with MSP when escalation is required

2. CRM Administration (HubSpot)

  • Serve as system administrator for HubSpot CRM
  • Build and maintain workflows, pipelines, dashboards, and automation
  • Maintain CRM data integrity and reporting accuracy
  • Manage user permissions and role-based access
  • Support integration between CRM, phone systems, and EMR platforms

3. EMR Administration

  • Support user provisioning and permissions
  • Support clinical workflow configuration and template updates
  • Maintain HIPAA-compliant system configurations
  • Coordinate with vendors to resolve technical issues

4. Asset Tracking & Technology Lifecycle Management

  • Maintain a centralized IT asset tracking system for all clinics
  • Track hardware inventory (computers, tablets, phones, networking equipment, servers, cameras, AV systems)
  • Monitor warranty periods and lifecycle replacement schedules
  • Ensure accurate documentation of asset assignments and locations
  • Manage equipment procurement and deployment processes

5. New Clinic Openings (NCO) – IT Deployment

  • Assist in obtaining and coordinating NCO IT services including:
  • Internet procurement and vendor coordination
  • Low-voltage wiring and rack installation
  • Phone system setup
  • Network configuration (IP, DHCP, DNS, VLAN, VPN)
  • Security cameras and access control setup
  • AV and display installations
  • Travel to clinic locations for buildouts, upgrades, and troubleshooting (as needed)
  • Ensure new clinic setups meet organizational IT standards
  • Coordinate with Facilities & Infrastructure team during buildouts

6. Security & Compliance

  • Maintain HIPAA-compliant systems and access controls
  • Assist in security audits and vulnerability assessments
  • Monitor and respond to security incidents in coordination with MSP
  • Implement and maintain antivirus, firewall, and endpoint protection systems
  • Maintain user authentication and deprovisioning protocols

7. End-User & Technical Support

  • Provide timely technical support across all locations
  • Resolve hardware, software, and network issues
  • Support remote employees and field teams
  • Maintain service documentation and ticket logs
  • Develop internal user guides and SOPs
Requirements:

Required Qualifications

  • Bachelor’s degree in IT, Computer Science, or related field (or equivalent experience)
  • 4+ years experience in systems administration or equivalent role
  • Hands-on administrative experience with HubSpot CRM
  • Experience administering EMR systems in healthcare
  • Strong understanding of HIPAA compliance requirements
  • Experience managing SaaS systems and integrations
  • Working knowledge of networking concepts (IP, DHCP, DNS, VLAN, VPN)
  • Experience with Microsoft 365 and Active Directory
  • Ability to run and terminate low-voltage cabling

Preferred Qualifications

  • Multi-location healthcare experience
  • Experience supporting clinic buildouts
  • Relevant certifications (CompTIA A+, Network+, CCNA, Microsoft, etc.)
  • Experience integrating CRM and EMR platforms
  • Experience working in a high-growth organization
