Job Description:
The City of Chesapeake is seeking a detail-oriented, self-motivated Office Coordinator to provide complex administrative support to the City Clerk and leadership members of the City Clerk’s Office.
Key Responsibilities:
Key Responsibilities:
- Assists with daily operations of the City Clerk’s Office.
- Maintains supply and equipment inventory.
- Performs routine office tasks such as data entry, filing, scanning, and photocopying.
- Interacts with the public by telephone or in person; provides information, directs individuals to appropriate personnel, or takes and relays messages.
- Processes incoming and outgoing mail.
- Processes requisitions and purchase orders.
- Researches and processes accounts payable and/or accounts receivable.
- Processes the billing of legal advertising for City Council meetings.
- Prepares monthly P-card report.
- Assists in the monitoring of the departmental budget.
- Serves as a Passport Acceptance Agent, ensuring compliance with Department of State requirements.
- Schedules passport appointments.
- Enters passport fees into the Mainframe data system.
- Completes citizen speaker cards for City Council meetings.
- Prepares Oath of Office certificates.
- Performs other related duties, as assigned.

Required Qualifications:
VOCATIONAL/EDUCATIONAL REQUIREMENT: Requires any combination of education and experience equivalent to an associate’s degree in word processing, secretarial skills, or a closely related field.
EXPERIENCE REQUIREMENT: In addition to satisfying the vocational/education standards, this class requires a minimum of two years of full-time equivalent experience in administrative support.
SPECIAL REQUIREMENTS: Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.
