Position Description:

Position Overview

The Contracts Administrator will play a key role within Thermal Concepts’ Corporate Shared Service Center, supporting all business units by managing, reviewing, and coordinating contract activities. This position will ensure that service agreements, change orders, and related documentation are executed accurately, align with company standards, and protect the organization’s financial and legal interests.

Key Responsibilities

  1. Review and administer all Service Contracts, Terms & Conditions, and Change Orders to ensure compliance with company policies and client requirements.
  2. Verify that all customer profiles are properly activated in the system before work begins and that all necessary documentation is complete and approved.
  3. Ensure execution of all agreements with proper signatures and supporting documentation prior to contract activation.
  4. Review and interpret legal and contractual terms, identifying potential risks and recommending revisions or alternative language to minimize exposure.
  5. Collaborate with internal stakeholders (Finance, Operations, Legal, and Sales) to ensure contract accuracy, consistency, and adherence to corporate standards.
  6. Maintain an organized contract repository and tracking system for executed agreements, renewals, and change orders.
  7. Serve as the central point of contact for all contract-related inquiries, providing guidance on company standards and compliance requirements.
  8. Coordinate with the CFO and, when necessary, legal counsel to resolve contract discrepancies or negotiate revisions.
  9. Support audits and internal reviews by ensuring contract documentation is complete, accurate, and readily accessible.
  10. Assist in developing and improving contract management workflows, templates, and approval processes to enhance efficiency and mitigate risk.


Position Requirements:

Qualifications

  1. Bachelor’s degree in Business Administration, Finance, Legal Studies, or a related field (or equivalent experience).
  2. 3–5 years of experience in contract administration, legal review, or similar corporate function.
  3. Experience working in construction, HVAC, or service-based industries preferred.
  4. Strong understanding of contract law principles, risk mitigation, and commercial terms.
  5. Excellent attention to detail and ability to manage multiple priorities with tight deadlines.
  6. Strong written and verbal communication skills, with the ability to interface effectively across departments and with external partners.
  7. Proficiency in Microsoft Office Suite; experience with contract management or ERP systems preferred.
