GENERAL SUMMARY OF POSITION: The Administrative Assistant II is responsible for providing administrative support to the human resources functions including but not limited to time-keeping, HRIS, documentation and front desk coverage.

GENERAL SUMMARY OF POSITION: The Administrative Assistant II is responsible for providing administrative support to the human resources functions including but not limited to time-keeping, HRIS, documentation and front desk coverage.
Responsibilities
MAJOR RESPONSIBILITIES:
- Organizes and tracks departmental documents. Creates and maintains hard copy and electronic filing systems.
- Performs data entry for time keeping and other departmental related functions. May audit others work.
- Reviews documents and data entry for accuracy. Resolves discrepancies within scope of work.
- Responds to all inquiries in a timely manner. Effectively communicates with employees and UMMS counterparts as necessary.
- Generates routine and ad hoc reports for departmental and organizational use.
- Adheres to all organizational and departmental procedures. Ensures the integrity and confidentiality of employee information.
- Coordinates with the MBL purchasing group in the placement and tracking of orders
- Provides periodic coverage at the front desk and adheres to security protocols
- Maintains departmental supply inventory, answers phones, makes photocopies, sends written and electronic correspondence
- Performs additional job related duties as required.
REQUIRED QUALIFICATIONS:
- Requires a high school diploma with a minimum 2 years of relevant experience
- Ability to follow verbal and written instructions precisely
- Demonstrated ability to recognize deviations from standard procedures and initiate appropriate corrective action
- Ability to troubleshoot within scope of training
- Computer literate and proficient in Microsoft Office Applications. PeopleSoft and Oracle EBS experience preferred.
- Demonstrated ability to multitask and consistently meet deadlines
- Possesses strong attention to detail, ability to maintain accurate written records
- Ability to communicate effectively with others
- Ability to work effectively both independently and as a member of a team
- Prior time keeping or payroll experience preferred
