About the Role:

The Office Manager/Project Coordinator plays a pivotal role in ensuring the smooth and efficient operation of our Sarasota office while supporting project execution from inception to completion. This position is responsible for coordinating administrative functions, managing project documentation and facilitating communication between our Naples home office, field teams, clients and subcontractors. The successful candidate will serve as a central point of contact, balancing multiple priorities and deadlines to support both office operations and project delivery. Ultimately, this role contributes significantly to the overall success and reputation of BCB Homes by maintaining operational excellence and fostering effective collaboration across all stakeholders.

Minimum Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration, Construction Management or related field preferred.
  • Minimum of 3 years experience in office management or project coordination within the construction industry.
  • Proficiency with Microsoft 365.
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent verbal and written communication skills.
  • Must have Florida Driver's license and reliable transportation.
  • Must possess strong interpersonal and customer service skills.
  • Knowledge of local permitting process from inception to completion.

Preferred Qualifications:

  • Experience with construction-specific software such as Procore or similar platforms.
  • Knowledge of construction processes, terminology, and regulatory requirements.
  • Experience working in a fast-paced, deadline-driven environment.

Responsibilities:

  • Manage daily office operations including scheduling, correspondence and supply management to ensure an organized and efficient work environment.
  • Coordinate project timelines, resources and documentation to support project managers and field teams in meeting deadlines and quality standards.
  • Serve as the liaison between clients, subcontractors, suppliers, and internal teams to facilitate clear and timely communication.
  • Prepare and maintain project reports, contracts, budgets and other essential documentation to support project tracking and compliance.
  • Assist in the onboarding and training of new office staff and support continuous improvement initiatives within office and project management processes.

Skills:

The required skills enable the Office Manager/Project Coordinator to efficiently organize and prioritize daily tasks, ensuring that both office operations and project activities run smoothly. Proficiency in project management and office software facilitates accurate documentation and communication, which are critical for coordinating multiple projects simultaneously. Strong communication skills are essential for liaising effectively with clients, subcontractors and internal teams, fostering collaboration and resolving issues promptly. Organizational skills help maintain comprehensive records and support compliance with industry standards and company policies. Preferred skills, such as familiarity with construction software and the local permitting process, enhance the ability to anticipate project needs, manage resources effectively and contribute to continuous process improvements.
