Position Summary:

The Advancement CRM Junior System Administrator supports the ongoing maintenance, accuracy, and effective daily use of the university’s Customer Relationship Management (CRM) system as it relates to fundraising, donor engagement, and Advancement operations. This role focuses on data integrity, routine system administration, reporting, and end-user support for Advancement staff.

The Junior System Administrator ensures that donor records, campaigns, gift-related data, and engagement processes are accurately maintained to support fundraising, stewardship, and alumni/donor relations initiatives.

Responsibilities:

CRM Administration & Data Integrity

  • Function as the central back-office administrator for the advancement systems, data, and workflows.
  • Serve as the operational owner for gift intake workflows, ensuring accurate and timely receipting across all gift types (checks, online, securities, ACH, wire.)
  • Enforce CRM usage standard, data integrity, and process compliance across all Advancement functions.
  • Maintain donor record management, including updating biographical data, maintaining giving histories, and ensuring correct coding for funds, appeals, and campaigns.
  • Ensure all donor contact activity is recorded in the CRM.
  • Perform routine data imports/exports to support mailing lists, events, campaigns, and stewardship activities.

Advancement Operations Support

  • Build and maintain Advancement-specific reports and dashboards for gift tracking, donor segmentation, campaign progress, and stewardship cycles.
  • Prepare lists for fundraising appeals, newsletters, event invitations, and donor recognition.
  • Support staff with annual reporting, year-end tax statements, scholarship stewardship data, and donor acknowledgement workflows.
  • Enforce moves management standards.

User Support & Training

  • Serve as the primary support contact for Advancement staff using the CRM and related engagement tools.
  • Provide training on data entry standards, reporting, and CRM best practices.
  • Contribute too and maintain internal documentation, reference guides, and workflows to ensure consistent use of CRM tools.

Technology & Integration Support

  • Assist with maintaining integrations between the CRM and related platforms (online giving, forms, email systems, etc.).
  • Support system enhancements, light automation, and workflow improvements as identified by Salesforce Admin leadership.
  • Coordinate with IT and external vendors as needed when technical support or system updates are required.

Qualifications:

  • Bachelor’s degree preferred.
  • Excellent interpersonal, communication, presentation, and organization skills.
  • Technology certification
    • Salesforce Certified Platform Administrator required
    • Marketo Certified Administrator preferred
    • Conga, Adobe sign, Apsona, Cirrus Insight preferred

Working Relationships:

This in person position reports to the AVP of Operations and collaborates closely with the University CRM Admin Team as well as the Advancement team.

Compensation:

This position will be paid $75,000 – 80,000 commensurate with experience.
