About This Position

Regulatory & Compliance

  • Participates in the evaluation of products for compliance with health and safety, storage, transportation and end-user specific application; validating product listings and product claims align with regulatory requirements.
  • Works within the framework of a variety of legislative bodies, including, but not limited to:
  • The Canadian Environmental Protection Act, 1999, including, but not limited to; DSL, NDSL, revised ICL in the review of requirements for substance-specific notices and restrictions;
  • TSCA and FDA as it relates to the importing of food ingredients and chemical additives into Canada;
  • The Hazardous Products Act, ensuring compliance with WHMIS 2015 and preparing Safety Data Sheets as required for the company.
  • The Transportation of Dangerous Goods Act including TDG regulations and other equivalent international transport legislation;
  • Stays current with regulatory matters that impact the business and our products by utilizing services and training, researching industry resources and attending industry group meetings, webinars and seminars.
  • Recommends changes to company procedures in response to changes in regulations or standards.
  • Prepares responses to customer requests for information, such as product data, written regulatory affairs statements, surveys, or questionnaires.
  • Participates in updating and maintaining all CUSMA/USMCA/COO documents in Google Drive.
  • Compiles and maintains regulatory and business-related files from suppliers and associated product lines in an accurate and updated manner within Google Drive.
  • May be called upon to present information to the senior management team as required;
  • Performs all other related duties as assigned.

Quality

  • Assists the RD Coordinator/ISO/FSSC Management Representative in maintaining the RD Code of Conduct and FQMS in an accurate and organized manner.
  • Participates in testing the effectiveness of the FQMS program on an on-going basis using real-time monitoring, audits, data gathering, surveys, quizzes and other methods as applicable.
  • Assists the Quality & Compliance department in Non-conformance Reporting (NCR) and Root Cause Analysis activities as assigned.
  • Participates in internal audits at planned intervals.
  • Co-hosts RD and ISO 9001:2015 audits with outside agencies in a professional and effective manner as assigned.
  • May be required to host visits by clients and provide input on Dempsey’s FQMS systems.
  • Assists in authoring and revision activities of standard operating procedures, work instructions, or policies as assigned.
  • To serve as back-up delegate to the FQMS Management Representative when they are on vacation or out of office.

Administration

  • Responsible for primary responses to industrial customer document requests and survey or questionnaire requests in a timely and accurate manner.
  • Responsible for secondary responses to food customer document request support as delegated.
  • Serve as in-house ambassador to help promote the benefits of managing all customer requests through quality & compliance group inboxes for formal response from a regulatory representative.
  • Ensures that all documents that are shared with a customer are sent from the respective group inbox.
  • Utilizes existing technology, included but not limited to Smartsheets, Microsoft Teams, Google Suite, Datacor CRM, company HRIS, Training LMS, Front, Chat GPT etc.
  • Adheres to all company policies and procedures.
  • Participates in all training and development opportunities provided by the company and completes all training assigned by the required due dates, uploading all completed training to the company HRIS.
  • Responsible for maintaining and protecting all company electronic devices on load and registered within HRIS.
  • Exercising the highest level of discretion regarding release of very confidential information to outside bodies including government, customers and suppliers.
  • Effectively manages own Dempsey related personal passwords to prevent unauthorized access.
  • Performs all other related duties as assigned.

Qualifications

  • Post secondary education is required; emphasis on Regulatory Compliance is an asset.
  • Certification in Quality, Regulatory or equivalent is required.
  • Minimum of 2 years experience in a related position or exposure to a similar environment is an asset.
  • Work experience in Safety DataSheets authoring is required.
  • Health & Safety experience is an asset.
  • Certified in Internal Audit for ISO 9001:2015 standard is an asset.
  • Certified in Internal Audit for FSSC 2200 standard is an asset.
  • Excellent understanding of Food and Chemical Regulatory/Compliance/Quality management principles.
  • Excellent written and verbal communication skills (English) and attention to detail; bilingual (French) an asset; proficient at delivering clear, concise presentations/training to large groups of people.
  • Fully proficient in Excel, Word, Microsoft; experience with QMS software and CRM is an asset.
  • Excellent diplomatic, persuasive and negotiation skills with a proven track record in dealing with and resolving customer and supplier concerns.
  • Excellent analytical, organization and prioritization skills with emphasis on time management and multitasking.
  • Excellent problem-solving, conflict resolution and decision-making skills and a proven ability to think creatively.
  • Strong leadership skills including the ability to coordinate the efforts of diverse personalities, with no direct supervisory authority.
  • Strong team player able to work independently and relate with all levels of staff
  • Ability to work under pressure in order to meet scheduled deadlines; flexibility to adapt and respond to continuously changing priorities.
  • Proactive, self-motivated and able to create opportunities as well as act on opportunities.

Working conditions

Work is performed in an office environment, with opportunities to work remotely. Currently, employees work three days remotely. This is subject to change. Moderate work pressure. Pressure to meet established deadlines however, the incumbent has control over the work pace. Some projects or time-sensitive matters may require occasional evenings or weekend work. Occasional travel may be required to visit Dempsey locations; travel is typically completed within the work-day.
