America’s Auto Auction San Antonio is seeking a dependable, customer-focused Front Office Staff member to join our team. This role is essential to creating a positive first impression for our dealers, visitors, and partners. Position Summary
The Front Office Staff member provides exceptional customer service and administrative support to ensure the smooth daily operation of the front office. This includes greeting visitors, answering calls, processing paperwork, and supporting dealer account activity.
REPORTS DIRECTLY TO: Office Manager
Key RESPONSIBILITIES
- Greet and assist on-site visitors; direct them to the appropriate personnel.
- Answer incoming calls, determine caller needs, and route calls or take messages.
- Provide general information such as directions, auction details, and department contacts
- Retrieve and distribute voicemail messages.
- Order, receive, and maintain office supplies.
- Contact dealers by phone or email regarding outstanding payments.
- Manage bidder badges for dealers based on account needs.
- Scan, load, and update required documents into the AS400 system.
- Maintain accurate dealer files and update information as needed.
- Assist with dealer status issues, dollar limits, and coordination with the collections department.
- Perform general clerical duties as assigned and perform other duties assigned by management
- High School Diploma or GED required.
- Must be able to read, write, and speak English fluently.
- Bilingual (English/Spanish) is a strong plus but not required.
- Strong communication and customer service skills.
- Ability to multitask, stay organized, and adapt to changing priorities.
- Comfortable using office technology and learning new systems.
- Dependable, punctual, and able to maintain professionalism in all interactions.
