About This Position

Description:

We are seeking a highly organized Office Coordinator to join our team at Future Care Consultants. This vital role ensures the smooth and efficient operation of our office environment by providing comprehensive administrative support, managing office functions, and delivering exceptional customer service. Candidates will need to spend time in both of our offices- one in Lakewood, NJ and the other in Brooklyn, NY.

The ideal candidate is proactive, detail-oriented, and possesses excellent communication skills, with the ability to handle multiple tasks simultaneously while maintaining a positive attitude.

Key Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately.
  • Handle calendar management, scheduling appointments/meetings, and coordinating meetings for staff members.
  • Assist with administrative tasks such as filing, document preparation, and maintaining office supplies.
  • Make sure all facets of the building are functioning, and coordinate any necessary services
  • Collaborate with team members to improve office processes and enhance overall efficiency.
  • Ordering snacks, drinks and water for office
  • All mail/shipping related tasks
  • Coordination with Corporate leaders for large in office meetings
  • Ordering meals for business meetings and other pertinent times
  • Receiving and prepping laptops for new employees and addressing broken software
  • Receiving guests
  • Office supply management/Vendor Management
  • Assisting executive team with miscellaneous tasks
Requirements:
  • Previous experience as an Administrative Assistant/Office Manager or in a similar role is preferred.
  • Strong customer service skills with the ability to communicate effectively both verbally and in writing.
  • Strong computer skills
  • Prior experience with office management/meeting coordination preferred
