Job Summary:
The Accounting Specialist is responsible for providing administrative and operational support to the Accounts Payable and Payroll functions. This role assists in ensuring invoices and payroll-related documentation are accurate, properly coded, and processed in accordance with established accounting procedures and internal controls. (MUST HAVE PAYROLL PROCESSING EXPERIENCE)
Essential Responsibilities:
- Review invoices and payroll-related documentation for appropriate backup and approval prior to payment/posting.
- Support plants and departments in submitting invoices and payroll information timely to maximize purchase discounts and ensure accurate payroll processing.
- Assist with verifying and correcting coding of invoices and payroll entries received from various plant personnel.
- Provide support to the Accounts Payable and Payroll teams in identifying value-add and process improvement opportunities.
- Serve as a support operator of the A/P document management workflow and data capture processes.
- Enter and post invoices and payroll-related transactions into the Enterprise Resource Planning (ERP) system under supervision.
- Verify, adjust/correct, and distribute invoice and payroll documents within the document management system.
- Communicate with operations to verify receipt of invoiced products and services and to clarify payroll-related inquiries.
- Assist in resolving invoice, statement, or payroll discrepancies with vendors and internal departments while maintaining positive working relationships.
- Develop working relationships with office managers and payroll contacts at plant locations.
- Maintain Accounts Payable and Payroll files and documentation in accordance with record retention policies.
- Prepare basic account reconciliations and reports, as required.
- Filing, scanning, and copying as necessary.
- Other tasks and responsibilities may be added at management’s discretion.
Requirements
Education and Experience:
- Associate degree with a business or accounting concentration
- 3+ years’ experience processing accounts payable and PAYROLL
- 2+ years’ experience using Enterprise Resource Planning software
- Intermediate Microsoft Excel skills, including VLOOKUP and Pivot Tables
Physical Requirements:
- Sedentary work that primarily involves sitting/standing in a stationary position, for prolonged periods.
- Repeating motions that may include the wrists, hands and/or fingers.
- Must have clear vision to view documents and read computer screen.
- Must be able to hear.
