About This Position

Description:

Overview.

The Administrative Assistant is responsible for providing comprehensive support to the Executive Director, Site Manager(s), Human Resources, Recovery Counselors, and overall hospitality at the Auburn office. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Responsibilities.

This includes but is not limited to:

· Provide hospitality to all clients and guests and help create a welcoming environment.

· Accept and screen incoming telephone calls, professionally greet new clients, families, and visitors; provide program and services information.

· Assist with client, staff, and visitor appointment scheduling.

· Facilitate client visits with Psychologist and other providers according to schedule.

· Manage Cliq appointments for PHP/IOP clients, communication with providers and ensuring that all clients are seen by the providers at the appointed times.

· Complete all intakes, readmits, and associated documentation for all PHP/IOP clients.

· Prepare UA cups, collect samples, process Monarch requisitions, ship samples to the lab on assigned days.

· Maintain digital and paper filing systems.

· Distribute daily mail – office mail to Human Resources or Executive Director; client mail to PHP/IOP clients directly; communicate with Team for delivery of packages to Colfax.

· Maintain inventory of office supplies, including snacks, printer supplies and paper, office supplies, etc.- provide inventory and supply ordering information to Site Manager and Human Resources.

· Take out trash on a daily basis, and place trash can at the road once per week (currently on Monday evening).

· Sweep and mop kitchen a minimum of 2 times per week and as needed.

· Vacuum office at least 1 time per week or more as needed.

· Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.

· Complete a broad variety of administrative tasks that facilitate the smooth daily operations at the Auburn office.

· Ensure front lobby is organized, clean, and marketing materials are consistently available – this includes opening blinds, stocking and re-stocking coffee and snacks, and ensuring general cleanliness of the facility.

· Uphold and enforce RRC’s standards, policies and procedures, client rights, and professional code of ethics and conduct, including the RRC social media policy.

· Additional special projects/duties as assigned for the overall benefit of RRC.

Requirements:

· High School Diploma and experience working in a fast-paced office environment that services several customers daily.

· Exceptional communication, quality customer service, professional presentation skills, and front office management.

· Proficient in professionally screening and directing incoming telephone inquiries.

· Knowledge of customer service principles and practices.

· Working knowledge of client rights, HIPAA privacy and client confidentiality laws, program services and structure.

· Strong attention to detail.

· Excellent verbal and written communication skills.

· Ability to complete monthly recordkeeping tasks.

· Superior time management and organizational skills.

· Must work independently and as a member of a team.

· Demonstrated problem-solving ability.

· At least 6 months of sobriety if in recovery.

· Valid California Driver’s License.

· Current CPR and First Aid Certification.

· Current Naloxone Certification.

· Current TB test clearance.
