Position Overview

We are seeking a dynamic and organized Membership Coordinator to join our team! The Membership Coordinator ensures members feel welcomed, connected, and valued from the moment they walk through the door. This role is designed for a service-oriented professional who excels at relationship selling, building personal relationships, and providing high-quality administrative support. Reporting to the Clubhouse Manager, you will focus on daily member engagement, seamless onboarding, and the essential administrative tasks that keep the club running smoothly.

Key Responsibilities

Member Engagement & Hospitality

  • Relationship Building: Act as a visible, professional point of contact for members; learn names, preferences, and family dynamics to provide personalized service.
  • Onboarding Excellence: Facilitate the new-member journey by preparing welcome materials, leading campus tours, and conducting follow-up check-ins during their first 90 days.
  • Feedback Loop: Maintain a presence in the clubhouse to gather member feedback and ensure any service opportunities are shared with department heads immediately.

Membership Administration

  • Database Management: Maintain accurate membership records, profiles, and digital files within the club’s CRM.
  • Reporting: Assist in generating monthly membership dashboards and engagement statistics for the Board and committees.
  • Office Liaison: Support the membership office with daily administrative tasks, including answering inquiries and coordinating with the billing team.

Event & Program Support

  • Reservation Management: Oversee the digital RSVP system for social events, holiday programs, and family activities.
  • Event Execution: Attend select club functions to assist with registration, greet arriving members, and ensure a premium experience.
  • Internal Promotion: Manage physical club signage, bulletin boards, and flyer distribution to keep the membership informed of upcoming activities.

Qualifications

  • Education: Bachelor’s degree preferred, or equivalent experience in hospitality or customer relations.
  • Organization: Highly detail-oriented with the ability to manage multiple tasks and deadlines.
  • Tech Proficiency: Comfortable learning and using club management software and basic digital tools.
  • Schedule: Ability to work a flexible schedule, including evenings, weekends, and holidays, as dictated by the club’s seasonal social calendar.
  • Interpersonal Skills: Exceptionally friendly, polished, and professional with a "member-first" heart.
