Business Operations Coordinator, Surgical Services

  • Position Summary
    • The Operations Coordinator will assist in managing the daily activities associated with supporting the administrative functions associated with Surgical Services. The Operations Coordinator insures that all statistical data is collected and placed in a reasonable format, as established by the Director, Surgical Services. The Operations Coordinator manages appointments for the Director and Managers and assists in collecting confidential data for the department’s administrative members. The Operations Coordinator will maintain and coordinate an efficient filing system to include Surgical Services Managers' files, financial data, minutes of department meetings, and appropriate purchasing information. The Operations Coordinator will transcribe correspondence and minutes per the discretion of the Director. The Operations Coordinator acts as a liaison to surgeons and other physician offices. Assists in quality initiatives as required. The Operations Coordinator coordinates departmental meetings and events with surgeon and physician groups.
  • Education
    • Bachelors in General Studies - Preferred
  • Experience
    • 2 - 3 Years Secretarial - Required
    • 2 - 3 Years Related experience, including but not limited to statistical analysis and reporting - Required
    • 2 - 3 Years Knowledge of procedures, policies and practices related to the operation of Surgical Services - Preferred
    • 2 - 3 Years Broad knowledge of major hospital functions and organizational relationships - Preferred

    • None Required
  • Core Job Functions
    • Prepares correspondence, using proper formats in an efficient and timely manner. Maintains Director's appointment calendar and informs Director of situations that arise in departments under his supervision. Establishes priorities and a course of action for handling multiple tasks.
    • Maintains financial statements and statistical information. Sends annual audited financial statements. Assists with compiling financial information for various departments for consultants and outside agencies.
    • Responsible for monthly report, data entry and other reports as assigned.
    • Phones are answered in a timely and courteous manner. Accurate information is provided, taken from caller and delivered to the appropriate recipient.
    • Takes minutes, prepares correspondence, reports, minutes and other documents as directed and processes all incoming mail. Schedules meetings as necessary an assists Director with calendars and phones. Serves as a backup to process payroll.
