About This Position
Under the direction of the Director of Administrative Services, the Administrative Coordinator will assist with various projects related to administration, procurement, maintenance and upkeep of the physical condition of the sites as well as the overall safety of the network.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Included but not limited to the following);
FACILITIES
- Transmits approved orders and supporting documentation to suppliers.
- Provides status reports to immediate supervisor of projects and initiatives.
- Maintain vendor management system.
- Ensure orders adhere to supplier agreements and contracts.
- Identify opportunities and implement actions to improve efficiency.
- Manage courier, maintenance technician, janitorial and security staff schedules.
- Perform preventive and routine maintenance on vehicles and facilities.
- Monitor and maintain contractor relationships.
- Supervise and train facility employees as needed.
- Independently maintain and update administrative policies and processes
- Other duties as assigned.
SAFETY
- Organizes, administers, and monitors Fetter's Safety Program and Emergency Preparedness Plans
- Ensures compliance with all Federal, State, Local Safety regulations/standards; focuses on system safety issues throughout organization encompassing patient, employee, and visitors.
- Educates and oversees safety operations across the network.
- Oversees the inspection of vehicles and facilities.
- Implements measures to prevent the occurrence of accidents and unsafe conditions.
- Participates in internal/external audits.
- Writes and revises safety plans.
- Prepares monthly safety reports.
- Participates in county-wide emergency preparedness meetings as needed.
MANAGEMENT RESPONSIBILITIES
- Oversee office space, equipment, and workflow, and perform light maintenance and troubleshooting.
- Recruit, train, and supervise staff, and create and maintain employee schedules.
- The individual is considered an essential employee and is required to be available for on-call responsibilities and emergencies. In addition, this position is expected to respond after-hours as needed for conference calls, events or for other agency related business.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Ability to function effectively as a team member and facilitate completion of tasks.
- Requires strong organizational skills, problem solving and analytical skills.
- Must be computer literate in accounting software excel, word and outlook.
- Able to exercise sound judgment and discretion.
EDUCATION AND EXPERIENCE
- High School diploma or equivalent
- Experience in facilities maintenance, project management or real estate.
- Associates of Business (PREFERRED)
- Minimum of five years of experience procurement.
