About This Position

Role Summary:

The Accounting + Payables Specialist is a key role in the daily operations of the Apothecary Products, LLC (APL) accounting team with responsibility for several key month-end close tasks, significant responsibility for sales and use tax reporting, and direct responsibility for timely vendor payments and accurate recording of expenses. This position also provides direct support to Annual Operating Plan, forecasting, treasury, and other support activities.

Essential Duties + Responsibilities:

  • Accountable for several key month-end and year-end close responsibilities, per monthly closing schedule.
  • Reconcile several balance sheet accounts and record fixed asset transactions according to company procedures.
  • Responsible for completing key activities associated with accounts payables, credit card payables, key accruals activities and the recording of use tax according to company procedure.
  • Provide support recording inventory transactions by working with accounting leadership and cross functional teams, as necessary.
  • Code inventory invoices and key vendor invoices to general ledger accounts and cost centers according to company procedures.
  • Code marketing invoices to the proper brands, customers, and general ledger accounts according to the company procedure.
  • Research invoice discrepancies for resolution, escalating when appropriate to accounting leadership.
  • Prepare payment recommendations for review by SVP Finance, as part of the weekly treasury process.
  • Process all vendor payments based on preferred payment method in accordance with procedure.
  • Reconcile key vendor statements, as applicable, in accordance with procedure.
  • Maintain accurate storage of vendor invoices/payments.
  • Maintain vendors master data and resolve vendor inquiries, as needed.
  • Assist Accounting leadership with other projects as requested.
  • Offer new ideas to support fulfillment of department goals and procedures to Accounting and Finance teams.
  • Complete mail administration activities to meet business needs.
  • Other duties as beneficial to the success of APL.

Essential Competencies + Skills:

Education: High school diploma or equivalent

Work Experience: 2-4 years’ related experience

Work Environment:

The work environment for this position is a combination of office and manufacturing settings. As Apothecary Products is a manufacturer and distributor of products and supplies, the incumbent will be exposed to various temperatures, fumes, and loud noise in the manufacturing setting. Due to periodic time spent on the manufacturing floor, the incumbent must be able to tolerate some exposure to these workplace characteristics. The incumbent must also follow company safety procedures.
