This high-impact Executive Assistant role serves as the trusted right hand to the CEO, acting as both a strategic partner and operational gatekeeper in a fast-paced, mission-driven environment. The position is central to ensuring the CEO’s time, priorities, and communications are managed with precision, discretion, and foresight. You will operate as the first point of contact for the CEO’s office, triaging information, managing a complex and dynamic calendar, and ensuring only the most critical matters reach executive attention. This role requires exceptional judgment, emotional intelligence, and the ability to anticipate needs before they arise. Acting as a communication bridge across internal and external stakeholders, you will help maintain alignment at the highest levels of the organization. The environment is remote-first but highly connected, with occasional in-person interactions aligned to executive needs. This is a role for someone who thrives in complexity, values confidentiality, and excels at staying several steps ahead.

Accountabilities:
  • Manage the CEO’s complex and dynamic calendar, prioritizing engagements, resolving scheduling conflicts, and ensuring optimal use of executive time.
  • Serve as the primary gatekeeper and liaison for the CEO, triaging communications and determining appropriate escalation paths.
  • Handle confidential correspondence, draft communications, and support both professional and occasional personal administrative needs.
  • Anticipate executive needs and proactively prepare materials, briefings, and logistics ahead of meetings and commitments.
  • Coordinate and streamline communication between the CEO’s office, internal teams, and external stakeholders, ensuring clarity and alignment.
  • Support board meeting preparation, including coordination with legal and internal teams to gather materials and finalize documentation.
  • Monitor organizational context and emerging issues, keeping the CEO informed and prepared for upcoming priorities or challenges.
Requirements:
  • 10+ years of experience supporting C-level executives in Executive Assistant or similar high-level administrative roles.
  • Experience in healthcare, biotech, pharma, or digital health environments strongly preferred.
  • Proven ability to act as a trusted gatekeeper with strong judgment, discretion, and confidentiality.
  • Exceptional organizational, multitasking, and prioritization skills in fast-paced environments.
  • Strong written and verbal communication skills with high emotional intelligence and executive presence.
  • Ability to operate independently while collaborating effectively with senior leaders and cross-functional teams.
  • Demonstrated ability to think proactively and strategically while executing tasks with precision and attention to detail.
  • Strong problem-solving mindset, adaptability, and resilience under changing priorities.
  • Politically savvy with the ability to navigate complex stakeholder environments.
  • Bachelor’s degree preferred but not mandatory if equivalent experience is demonstrated.
