Join Diversified Radiology’s Operations Team: Remote or Hybrid (Denver, CO)
The Physician Scheduling Specialist is responsible for the comprehensive management of the physician and physician extenders schedules across all service lines. This role ensures efficient allocation of clinical resources, maintains accurate and compliant scheduling data, and supports operational continuity through proactive coordination with physicians, administrators, and department leaders.
Essential Functions: - Create, manage, and maintain physician and physician extender schedules based on clinical demand and provider availability by ensuring shifts are updated and align with staffing and volume demands.
- Ensure appropriate vacation coverage, manage shift swaps, volunteer shifts, and approved time off by collaborating with sub-specialty core members and operational leadership to confirm shifts, while promptly addressing and communicating any coverage gaps.
- Support subspecialty cores and independent RAD schedulers by providing scheduling guidance and direct assistance where needed.
- Serve as system administrator and subject matter expert for the scheduling/workforce management platform (e.g., QGenda).
- Manage user access, permissions, and system security. Maintain accurate provider profiles including specialties, credentials, partner status, and contact information.
- Configure and optimize system settings, scheduling rules, and workflows to meet operational needs.
- Create and maintain provider schedules, shifts, and system structures (e.g., reading slots, seats).
- Ensure data accuracy, integrity, and compliance within scheduling systems and associated data warehouses.
- Monitor and track wRVU’s, extra shifts, target productivity, radiologist percentages, shift rate changes, special shifts, and IT downtimes, ensuring physician targets are accurate.
- Perform daily reconciliations of overlapping shifts and shifts worked outside of standard reading hours, including wRVU and SOS validations. Collaborate with team members to ensure accurate oversight of Locum schedules.
- Coordinate Physician and Physician Healthcare Extender credentialing by requesting and maintaining appropriate credentials for various subspecialties, as collaborates with facilities to align and maintain procedural Delineation of Privileges on skills and privileges.
- Oversee the timely creation of reports for tracking, scheduling, payroll, core leads, IR clinic, and other reports as requested by Finance, ensuring proper maintenance and reporting within the data warehouse.
- Collaborate with Finance team and payroll prior to the processing of payroll to report physician excess shifts, reviewing and reconciling payroll reports to ensure radiologists are accurately compensated for stipends, blue days, transfers, payroll corrections, admin days, and settle ups.
- Provide timely communication of errors and notifies applicable parties of the plan of action, including affected Physicians and Physician Extenders, applicable operational staff, HR, payroll, finance, and others as needed.
- Maintains current staff and task phone numbers, along with other relevant information, within the scheduling software.
- Provides backup to the Office Manager in overseeing the lodging schedules for remote reading sites within the scheduling software, and condominium arrangements, including cleaning and maintenance
- Performs all other general administrative duties as assigned or required.
- Must have a High School Diploma or GED
- Bachelor’s degree in healthcare administration or related discipline preferred but not required; relevant years of experience will be considered in lieu of a degree
- Demonstrated proficiency in automated scheduling software, as well as Microsoft office applications, (Word, Excel, Outlook) highly preferred
- Prior experience managing data systems, tracking payroll, monitoring workloads (e.g., wRVU’ s), data reporting, working with physicians, physician extenders, or clinical staff highly preferred
- Attention to detail and accuracy in all scheduling, reporting, and administrative tasks, as well as adaptability to work in a fast-paced, dynamic healthcare environment
Must be a self-starter and have the ability to work independently and proactively to ensure operational continuity and alignment with contractual and staffing requirements - Must have a thorough understanding of physician and physician extender scheduling practices across multiple service lines, including knowledge of shift swaps, call schedules, time-off requests, and vacation coverage management.
- Familiarity with workload metrics such as wRVU’ s, productivity targets, and shift rates
- Ability to maintain accurate scheduling data, generate reports, and ensure integrity within scheduling software and data warehouses
- Strong organizational skills to manage multiple priorities and ensure efficient allocation of resources
- Experience coordinating credentialing processes, procedural privileges, and compliance documentation
- Excellent communication skills in writing and in person, ability to collaborate professionally with physicians, physician extenders and other key stakeholder
- Ability to identify and resolve scheduling conflicts, coverage gaps, or workflow inefficiencies
- Prior knowledge of HIPAA regulations and ability to handle sensitive patient and physician information with confidentiality
- Frequent contact with physicians, healthcare extenders, leadership and operational staff.
- Expected to provide assistance in scheduling as needed, outside of normal work hours, such as early morning, late evenings, and weekends.
Primarily sitting and computer work
