Job Overview
We are looking for a highly organized and reliable Administrative Receptionist who will serve as the first point of contact for our office while taking full ownership of day-to-day administrative and office management operations. This role is ideal for someone who is proactive, detail-oriented, and thrives in ensuring that office operations run smoothly and efficiently behind the scenes.
Key Responsibilities:
Reception & Front Desk Duties:Serve as the main receptionist and first point of contact for visitors, clients, and partnersManage visitor logs, access passes, and office entry protocolsHandle incoming calls, emails, and general office inquiries professionallyCoordinate with staff regarding visitor arrivals and office schedules
Office Administration:Oversee daily office operations, upkeep, and overall functionalityManage utility accounts (electricity, water, internet), ensuring timely billing and paymentsHandle rental agreements, lease compliance, and coordination with building managementMaintain office supplies, equipment, and relationships with vendors and service providersCoordinate office repairs, maintenance work, and external service providers
Financial & Administrative Support:Monitor office-related expenses and prepare monthly expense reportsSupport budgeting and cost control initiativesEnsure proper documentation, filing systems, and record-keepingAssist with procurement processes and inventory management
Employee & Management Support:Provide administrative support to onsite teamsEnsure office safety protocols and compliance are followedAssist management with special projects, reports, and operational tasks as needed
