The Facilities and Safety Manager supports this mission by ensuring BAR-All’s shared office, warehouse, distribution, and fulfillment environment remains safe, functional, compliant, and operationally ready. Because this facility supports both BAR-All operations and KwikShip’s warehouse and fulfillment activities, this role is critical to maintaining the physical space, equipment reliability, vendor-managed services, and workplace safety standards that support daily business continuity.
Job Summary:The Facilities and Safety Manager serves as the primary point of contact for facility maintenance, preventive maintenance, vendor coordination, repair needs, and workplace safety across BAR-All’s office and KwikShip’s warehouse, distribution, and fulfillment operations. This role is responsible for performing and coordinating general building repairs, supporting maintenance and service needs for equipment such as forklifts and box trucks, maintaining inspection and service schedules, and ensuring the facility remains orderly, functional, and safe.
This position also serves as the lead for site safety administration and compliance, supporting adherence to applicable OSHA, FDA, and Tennessee Department of Agriculture requirements as relevant to facility operations, storage conditions, sanitation expectations, safety practices, and documentation standards. The ideal candidate is hands-on, proactive, mechanically capable, highly organized, and able to balance daily repair and maintenance demands with longer-term planning, vendor oversight, compliance tracking, and safety leadership.
Key Responsibilities:Facility Maintenance and Repairs
· Serve as the main point of contact for day-to-day facility maintenance needs across office, warehouse, distribution, and fulfillment areas.
· Perform or coordinate general facility repairs, including lighting replacement, minor plumbing, minor carpentry, equipment troubleshooting, and other routine maintenance tasks.
· Support basic service and repair needs for operational equipment, including forklifts, box trucks, and other facility-related equipment, within the scope of training and authorization.
· Identify building and equipment issues proactively and take corrective action or escalate as needed.
· Maintain the general safety, functionality, cleanliness, and upkeep of the facility and surrounding work areas.
· Manage the Sanitation staff and coordinate the ordering of sanitation and hygiene supplies for facility use.
Preventive Maintenance
· Develop, maintain, and execute preventive maintenance schedules for building systems, warehouse equipment, and operational support equipment.
· Track maintenance intervals, completed service, repair needs, recurring issues, and follow-up actions.
· Conduct routine inspections of facility systems and equipment to reduce unexpected downtime and maintain operational readiness.
· Coordinate repair and replacement planning for worn, damaged, or outdated equipment and facility components.
· Maintain organized records of preventive maintenance activities, service history, and outstanding maintenance needs.
Vendor and Service Coordination
· Manage vendor relationships and service schedules for pest control, sprinkler inspections, backflow inspections, and other facility-related services.
· Coordinate third-party contractors performing repairs, inspections, or specialized maintenance work.
· Ensure service documentation, inspection reports, certifications, and renewal requirements are maintained accurately and on time.
· Serve as an internal point of contact for landlord-related maintenance coordination as needed for the rented facility.
· Monitor vendor performance and follow through on service issues, corrective actions, and contract needs.
Safety Program Administration
· Serve as the site Safety Manager and support a safe working environment across all applicable facility operations.
· Conduct monthly safety meetings and facilitate routine safety communication, reminders, and follow-up with employees and leadership.
· Perform regular safety inspections and identify, document, and track hazards, corrective actions, and resolution status.
· Support workplace safety practices related to warehouse operations, powered industrial trucks, walking-working surfaces, PPE, emergency procedures, and equipment safety.
· Assist with the development, communication, and consistent execution of safety procedures and expectations across the facility.
Compliance and Documentation
· Support compliance with applicable OSHA, FDA, and Tennessee Department of Agriculture requirements relevant to facility operations, storage conditions, sanitation-related expectations, and workplace safety.
· Maintain accurate records related to inspections, incident reports, corrective actions, training completion, vendor services, safety meetings, and facility compliance activities.
· Audit safety and facility records regularly to ensure documentation is current, complete, and readily accessible.
· Assist with preparation for inspections, internal reviews, audits, and compliance follow-up activities.
· Monitor required service intervals, compliance deadlines, and documentation needs to help ensure the facility remains inspection-ready.
Incident Response and Follow-Up
· Assist with documentation, investigation support, and corrective action follow-up for facility-related incidents, safety concerns, and near misses.
· Track safety concerns and facility issues through resolution and communicate updates to leadership as appropriate.
· Partner with leadership to identify trends, recurring concerns, and opportunities to improve safety and facility performance.
Operational Support and Continuous Improvement
· Partner with KwikShip Operations leadership and BAR-All leadership to support facility readiness and operational efficiency.
· Recommend improvements to maintenance programs, safety practices, inspection tracking, and vendor coordination processes.
· Help maintain organized parts, tools, maintenance supplies, and related records needed to support timely facility response.
· Create and maintain playbooks, checklists, logs, and process documentation for recurring maintenance and safety tasks.
Support additional projects and responsibilities related to the facility, safety, and operational readiness as assigned.
Requirements: Qualifications:· High school diploma or equivalent required; technical training, trade school education, or related vocational certification preferred.
· 3+ years of experience in facilities maintenance, warehouse maintenance, industrial maintenance, safety coordination, or a related operational environment.
· Demonstrated hands-on experience with general building repair, preventive maintenance, and basic equipment troubleshooting.
· Working knowledge of workplace safety practices in warehouse, distribution, manufacturing, fulfillment, or similar environments.
· Experience coordinating vendors, service providers, inspections, and facility-related documentation.
· Strong organizational skills and ability to maintain accurate maintenance, inspection, and compliance records.
· Ability to identify problems, troubleshoot effectively, and take timely corrective action.
· Strong communication skills and ability to work effectively with leadership, employees, vendors, and contractors.
· Ability to safely perform physical job duties, including lifting, climbing, bending, reaching, and working in office, warehouse, and temperature-controlled environments as needed.
Preferred Qualifications· Experience in a warehouse, fulfillment, distribution, food storage, or regulated facility environment.
· Experience supporting forklift, box truck, or similar equipment maintenance coordination.
· OSHA 10, OSHA 30, or other workplace safety training preferred – willingness to train.
· Experience leading safety meetings, conducting safety inspections, and maintaining incident and corrective action records.
· Experience supporting FDA or Tennessee Department of Agriculture compliance expectations as related to facility conditions, storage, sanitation support, and documentation.
· Experience creating SOPs / playbooks, maintenance logs, or preventive maintenance tracking systems.
